About Inland Rail

The Inland Rail Program is a 1600km rail infrastructure project stretching from Brisbane to Melbourne incorporating new and existing rail track. The program includes the upgrading of existing standard gauge track, the enhancement of existing standard gauge track to cater for double stacking and the construction of new standard gauge links comprising of viaducts, tunnels, rail track, crossings and bridges. About the opportunity

We're seeking a highly experienced and proactive Executive Assistant to support the CEO of Inland Rail. This pivotal role ensures the smooth operation of the Office of the CEO, providing high-level executive support, strategic coordination, and stakeholder engagement across a dynamic and nationally significant infrastructure project.

Key Responsibilities include but are not limited to:

  • Act as the primary liaison between the CEO and internal/external stakeholders
  • Manage complex calendars, travel, and meeting preparation across time zones
  • Manage incoming emails and correspondence, ensuring timely responses, appropriate delegation, and accurate record-keeping
  • Coordinate Board and governance documentation with precision and confidentiality
  • Lead and mentor administrative staff, fostering consistency and best practice
  • Support strategic initiatives and ensure alignment with organisational priorities
  • Promote a culture of safety, professionalism, and operational excellence

Hybrid Role: Flexible work-from-home days, based on the CEO's schedule and business needs.

About you

To ensure success in this position, applicants will be able to demonstrate:

  • Minimum 5+ years' experience supporting C-suite executives in large organisations
  • Advanced proficiency in Microsoft Office and collaboration platforms, including document formatting and digital efficiency
  • Experience supporting Board-level activities, including preparation and distribution of governance papers
  • Proven ability to manage competing priorities, solve problems, and deliver outcomes independently
  • Resilience, discretion, and professionalism in handling sensitive matters
  • High emotional intelligence, executive presence, and sound judgement under pressure
  • Strong influencing and stakeholder engagement skills, with the ability to drive outcomes without formal authority
  • Exceptional verbal and written communication skills, with excellent attention to detail
  • Experience working in a Government Business Enterprise (GBE) along with

    Certificate/Diploma in Administration or related field (highly desirable)
