Administration & Meetings Coordinator
Are you a highly organised and proactive administrator with a knack for coordinating meetings and capturing key outcomes? BNTAC is seeking an Administration and Meetings Coordinator to support our Executive Services team and broader organisation. This is a dynamic role that blends meetings coordination, administrative support, and stakeholder engagement in a culturally grounded not-for-profit environment.
Key Responsibilities
- Plan and coordinate logistics for meetings, workshops, and internal events
- Book venues, catering, travel, and AV equipment
- Prepare and distribute meeting packs and agendas
- Attend meetings to manage sign-in, support AV, and take accurate minutes
- Maintain central calendars, spreadsheets, and reporting for allowances
- Liaise with vendors and negotiate favourable terms
- Provide general administrative support across departments
- Manage and maintain the office environment
- Support cross-team collaboration and cover during absences
About You
You're detail-oriented, organised, and efficient, with a confident communication style and a friendly, can-do attitude. You're happy to get involved across different areas of the business—providing meeting coordination, administrative support, and helping maintain a professional office environment.
Selection Criteria
Essential:
- Experience in meeting coordination and administrative support
- Strong minute-taking skills with a focus on accuracy and timeliness
- Excellent organisational and time management abilities
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Ability to work independently and collaboratively
- Strong interpersonal and communication skills
- Current police clearance or willing to obtain
- Willing to travel to the Pilbara annually for AGM
- Unrestricted work rights in Australia.
Desirable:
- Identify and are recognised as a Banjima Person
- Current driving licence
