This role offers an excellent opportunity to contribute to the University's AI transformation, supporting projects that design, implement, and embed generative AI solutions for staff and students.You will report to the Head of AI and collaborate closely with senior members of the AI Team, academic and professional staff, students, and external partners. You will play a key role in supporting the governance, administration, and adoption of innovative AI solutions that enhance learning, research, health, and operations. In addition, you will help the team experiment with and apply AI tools to improve operational efficiency and support the University's broader digital transformation goals.Key AccountabilitiesProvide administrative and coordination support to the AI leadership teamCoordinate workshops, training sessions, pilots, and demonstrations with staff and studentsManage and monitor the AI Team's communication channels (Teams, inbox), ensuring timely and professional responsesSupport data collection, reporting, and tracking of adoption, success and usage metrics for AI tools and pilotsAssist with the preparation of reports, presentations, dashboards, and executive communications on AI progress and impactSupport procurement processes, vendor management, and contract tracking for AI tools and licensesProvide administrative support for the purchase and delivery of IT equipment, supplies, and services (including catering), ensuring compliance with University policies and proceduresSchedule and coordinate meetings between team members, suppliers, and other stakeholders to ensure effective collaborationExplore and apply AI tools to improve operational efficiency within the AI TeamCapture meeting minutes for AI governance forums and project updatesBuild and maintain collaborative relationships with key internal and external stakeholders across the UniversityAssist with project delivery activities, including user support and preparation of training or guidance materialsComply with relevant EEO and WHS regulationsPerform any other duties as required and appropriate for the roleAbout YouYou are a proactive individual with strong organisational and project coordination skills, who is interested in enterprise AI and emerging technologies. You have experience supporting multiple projects in a complex environment, and are confident managing competing priorities.You will also bring excellent stakeholder engagement and communication skills, enabling you to work effectively with a wide range of staff including professional and academic leaders, IT colleagues, students, and vendors.Selection CriteriaMinimum 2 years' experience in a similar role (or equivalent)Demonstrated ability to coordinate information and activities in a complex program or portfolio environmentExperience in project coordination or project officer roles within digital transformation or technology environmentsStrong written and verbal communication skills, particularly in drafting project documentation, reports and briefing materialsStrong organisational and time management skills, with the ability to prioritise and meet competing deadlinesUnderstanding of project management fundamentals in a complex organisationDemonstrated ability to manage multiple stakeholders, support project delivery, and coordinate across cross-functional teamProficiency in Excel and the MS Office Suite, with experience preparing agendas, minutes, reports, and presentationsRegular and confident user of AI tools (e.g. ChatGPT, custom GPTs, prompt templates) in personal or professional contextsDemonstrated ability to collect and interpret data to inform reporting and decision-makingFamiliarity with AI/technology projects or a strong interest in AI transformationKnowledge of AI concepts such as generative AI, ethical use, and data governance (desirable)Experience with project management tools (desirable)About UsMacquarie is a university engaged with the real and often complex problems and opportunities that define our lives.
