THE ROLE
Reporting to the Manager, Office of the Deputy Secretary, Children and Families, the role is responsible for undertaking projects and briefing coordination tasks that support the Deputy Secretary to lead the Children and Families Division. This role supports the Deputy Secretary to prioritise and progress urgent, sensitive or strategically important matters and provides quality assurance and coordination support.
The Briefings and Project Officer works within a fast-paced complex environment characterised by competing priorities. The role works closely with the Manager, Office of the Deputy Secretary, Children and Families to facilitate the high-level operations of the Office of the Deputy Secretary and the division.
Accountabilities Include
Working as part of a small, high performing team, the Briefings and Project Officer plays a critical role in providing advice and support to the Deputy Secretary.
The Briefings and Project Officer works closely with the Manager to:
- Support quality assurance and coordination across briefings, correspondence and other written materials for the division, including acting as key contact for the OurBriefings or equivalent briefing system
- Use departmental systems, including OneNote, Teams, SharePoint, OurBriefings and Outlook, to triage and respond to incoming workflow, support agreed filing conventions and take the coordination lead for the shared inbox
- Provide secretariat support for meetings, including coordinating papers, organising venues, agendas, taking minutes and follow-up actions and contribute to the planning and delivery of divisional forums and events
