ABOUT THE ROLE
We are seeking a dedicated Production Administrator to join Hogarth's dynamic WPP Media Partnership team, specifically supporting our Out-of-Home (OOH) Media workstream. This is an exciting opportunity to be at the heart of delivering impactful OOH campaigns for leading brands.
Based in Sydney, this is a critical support role, focused on the successful setup, day-to-day delivery, and accurate billing of OOH media production jobs from WPP Media companies. With a strong emphasis on print production and print industry supplier engagement, you will be instrumental in ensuring the smooth execution of our OOH campaigns.
You will provide essential input and support into the internal planning, process, and execution of OOH-focused projects. This role demands meticulous attention to detail and strong organisational skills, as you will be accountable for the successful administrative delivery of OOH jobs.
Key Responsibilities
- Project Coordination:
Provide comprehensive administrative and coordination support throughout the OOH project lifecycle, from initial setup to final delivery. - Supplier Engagement:
Coordinate artwork and production materials with established external print industry suppliers, fostering strong relationships and ensuring timely, high-quality delivery. - Financial Administration:
Coordinate all financial aspects of OOH projects, including the accurate recording of cost estimates, precise rate card matching, and efficient invoicing of completed projects, working closely with the Hogarth Finance team. - Documentation & Workflow Management:
Update and maintain critical workflow documentation, project schedules, and other associated records to ensure efficient OOH production operations. - Process Improvement:
Contribute to internal planning and process optimisation for OOH-focused projects. - Cross-Functional Support:
Opportunity to contribute to broader production streams, including Addressable Content, and more ad hoc production such as digital banner builds, and asset resizing.
WHAT YOU'LL BRING
- Proven administrative or coordination experience, ideally within a media, advertising, or production environment.
- A strong understanding of print production processes and experience engaging with print industry suppliers.
- Exceptional organisational skills and meticulous attention to detail are paramount.
- Proficiency in managing schedules, workflow documentation, and financial administration.
- Excellent communication and interpersonal skills, capable of liaising effectively with internal teams and external partners.
- A proactive, problem-solving mindset with the ability to manage multiple tasks simultaneously and meet deadlines.
- Familiarity with Out-of-Home (OOH) media or broader advertising production is a significant advantage.
- Experience with Production Finance systems such as Spectra / BCC is highly desirable
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and ideally project management software.
