Winslow Infrastructure is involved in building Melbourne's vast infrastructure network and requires a professional, engaged and organised Document Controller to join our high performing team

The Opportunity
As our Document Controller, you will be responsible for developing, implementing, and maintaining effective document control systems and procedures for both digital and physical records. This includes managing the document lifecycle, ensuring data security and accessibility, and maintaining regulatory compliance. The ideal candidate has excellent organisational and technical skills, a meticulous attention to detail, and a proven ability to manage and train teams.

- Implement and manage document control systems: Select, implement, and maintain electronic document management systems (EDMS) and other digital tools. Oversee document numbering, processing, distribution, and archiving.
- Lead and train staff: Provide training and guidance on document management procedures and system usage to all relevant personnel.
- Manage the document lifecycle: Oversee the entire process from creation, review, and approval to version control, retention, and final disposal.
- Ensure security and accessibility: Administer user permissions and security protocols to protect confidential and sensitive information. Guarantee that all documents are properly labeled, indexed, and accessible to authorized personnel.
- Facilitate cross-functional collaboration: Work closely with Commercial, IT, and other departments to ensure document management systems align with the company's needs.
- Conduct audits and ensure compliance: Perform regular internal audits to verify adherence to company policies, Business Management System, and industry regulations, such as ISO 9001.
- Control project information flow: Implement procedures for the smooth, controlled flow of information between on-site teams, project managers, engineers, clients, and external stakeholders.
- Drive process improvement: Proactively identify inefficiencies in existing systems and recommend new technologies or methods to streamline document workflows.
- Handle technical drawings and specifications: Manage a high volume of technical documents, including detailed engineering drawings (e.g., CAD files), schematics, blueprints, and project specifications for roads, bridges, and other infrastructure.
- Manage subcontractor documentation: Track and manage all documentation from subcontractors, ensuring compliance with contract terms for submissions, quality assurance, claims, and payment records.
Here's what we are looking for…
- A minimum of 5 years of experience in document control or a related
- High Level of proficiency in MS Excel and Sharepoint
- Experience with document management systems such as Team binder, Aconex etc
- Experience on large infrastructure projects
- Ability to manage and coordinate with multiple stakeholders
- Excellent time management and communication skills
- Engineering or business management degree
