Project Administrator and Document Controller

About the Role
We are seeking an experienced Project Administrator/Document Controller to join our team and provide vital support across large-scale energy projects in Australia. This role is critical in ensuring that project documentation is managed, controlled, and distributed in line with company and client requirements, industry standards, and regulatory compliance.
As the central point of contact for document control, you will oversee the receipt, review, distribution, and archiving of all project-related documents, ensuring accuracy, version control, and accessibility for multidisciplinary project teams.
Key Responsibilities
- Manage and maintain document control systems for major oil and gas projects.
- Ensure compliance with company, client, and industry standards for documentation.
- Control document numbering, revision tracking, and secure distribution of project documentation.
- Liaise with engineering, project management, procurement, and construction teams to ensure timely submission and approval of documents.
- Monitor contractor and vendor deliverables, ensuring alignment with project schedules and quality standards.
- Prepare document status reports, registers, and dashboards for project stakeholders.
- Ensure proper archiving, retrieval, and handover of documentation at project completion.
Skills & Experience
- Highly organised, detail-oriented, and proactive.
- Good knowledge of document management systems (e.g., Aconex, SharePoint, etc).
- Strong communication skills to liaise with internal and external stakeholders.
- Proficiency in Microsoft Office Suite and database systems.
Qualifications
- Certificate/Diploma/Degree in Business Administration, Project Management, or a related discipline (desirable).
- Oil and gas/energy project experience in Australia (highly regarded).
- Knowledge of engineering terminology and technical documentation processes.
