As an Operations Coordinator within the ADF Health Services Contract (AHSC) team, you'll provide critical administrative and coordination support to drive performance to the Northern NSW Region. You'll ensure smooth workforce operations by contributing to the optimisation of rosters, compliance, and reporting, whilst bringing strong administrative skills and a confident, professional manner to your daily work.

This role has two focuses: coordinating the workforce and liaising with key stakeholders in your local region, whilst also working as part of the National team servicing the AHSC support line that operates Monday – Sunday.

  Roster Cycle: 6-week rotating schedule Possible Daily Start Times: Week 1: 2pm-10pm Week 2: 5am-1pm Week 3: 9am-5pm Repeats as above for week 4-6, except in week 6 you will have an RDO on the Friday. On-Call & Weekend Work: One week every six, you will be on call 9-5 on Saturday. During that same week, you will work Sunday 5am-12pm and then 8-10pm.  

As an Operations Coordinator in the AHSC contract, you'll make a positive impact by:

  • Managing unplanned leave absences and shift backfill.
  • Overseeing the health workforce, including maintaining accurate staff listings.
  • Facilitating leave approvals and contract changes.
  • Processing locum assignments and coordinate travel/accommodation bookings.
  • Coordinating recruitment, onboarding, and offboarding processes for staff.
  • Ensuring compliance with mandatory training and readiness requirements.
  • Collaborating with payroll to resolve roster-related queries and ensure accuracy.
  • Preparing regular and ad hoc reports for internal and client use.
  • Supporting the regional leadership team to optimise rosters and manage workforce needs.

To be successful in this role you'll have:

  • Australian Citizenship due to clearance requirements.
  • Strong attention to detail and exceptional data management skills.
  • Excellent organisational skills with the ability to manage competing priorities.
  • Strong administrative capability and a confident, professional manner.
  • Proficiency in MS Office, with solid Excel skills, and familiarity with tools like Power BI.
  • Strong interpersonal and communication skills to build relationships with staff and stakeholders.
  • Previous administrative experience, ideally in a 24/7 operational environment.
  • Experience in clinical and/or defence environments (highly regarded).
