Operations Coordinator – Civil Construction Subcontractor

About The Company:
My client is a specialist subcontractor in retaining wall systems, earthworks, and structural landscaping, partnering with Tier 1 residential and commercial builders across Sydney. Established five years ago, the business has rapidly grown to $12M turnover, built on strong relationships, high-quality work, and a tightly bonded team culture. They are part of a larger group of companies with other business entities highly established in the commercial construction sector for almost 30 years 

With a team of 15, their focus is now on streamlining internal operations and enhancing systems to improve project delivery. The culture is best described as family-oriented and loyal, with many team members working together across previous businesses.

The Role:
As Operations Coordinator, you'll work closely with the General Manager to bridge the gap between estimating, admin, and site delivery. This is a key role designed to remove bottlenecks and free up leadership to focus on growth and external relationships.

You'll be responsible for coordinating internal workflows, tracking tenders, ensuring deadlines are met, and holding various teams accountable - from estimators and site staff to marketing and admin. You'll also help manage the tender register, project documentation, and act as the GM's right hand for operations, reporting, and follow-ups.

Typical duties include:

Estimating & Tender Management

  • Oversee estimating workflows in collaboration with the estimating team.
  • Manage tender submissions, ensuring accuracy, quality, and compliance.
  • Maintain and update the tender sales sheet, monitoring deadlines and ensuring all opportunities are tracked and actioned.
  • Provide clear documentation and scope handover to site teams, ensuring smooth project transition from estimating to delivery.

Operations & Administration

  • Report directly to the GM and manage internal coordination tasks to reduce their administrative load.
  • Take verbal instructions, act promptly, and follow up to ensure tasks are completed.
  • Streamline office systems, processes, and procedures to improve efficiency across departments.
  • Maintain accurate project documentation and internal records to a high standard.
  • Track project progress and prepare updates for the GM and site teams as required.

Marketing Oversight

  • Work with the Marketing Coordinator to manage social media platforms, ensuring content is consistent with the company's brand and values.
  • Oversee the development of marketing materials and coordinate updates to maintain professionalism and relevance.
  • Ensure marketing activity complements tendering and project delivery processes.

About You:
You've worked in construction or civil subcontracting for a minimum of 5 years, ideally in an operations, estimating support, or coordination capacity. You're confident managing internal workflows, communicating across teams, and nudging people respectfully to ensure things get done.

You bring strong organisational skills, attention to detail, and the confidence to sit alongside senior leaders. You'll have the autonomy to streamline processes and make this role your own.
