The Opportunity
This is a 12-month fixed term opportunity based in our Ultimo office in Sydney's CBD, working at the heart of some of Australia's most significant infrastructure projects.
As a Program Coordinator within our Delivery team, you'll be central to keeping projects moving. Ensuring the smooth coordination of people, priorities, and processes. You'll work closely with senior leaders, technical experts, and project teams, managing diaries, meetings, reporting, procurement, and stakeholder communications.
No two days are the same, and your work will directly contribute to delivering safe, reliable, and sustainable energy for millions of Australians.
A Day in the Life at Transgrid
As a Program Coordinator, your day will be a blend of planning, problem-solving, and keeping projects moving. You might start by reviewing the General Manager's calendar, confirming meeting agendas, and preparing briefing materials. Mid-morning could involve attending a project meeting, capturing key actions, and following up with stakeholders to ensure deadlines are met.
Throughout the day, you'll update project tracking sheets, coordinate the engagement of technical consultants, process purchase orders, and work closely with Finance for cost allocation. You'll also manage queries from internal and external stakeholders, keep SharePoint content up to date, and ensure records are accurate and secure.
Key activities include:
- Preparing agendas, reports, and minutes for governance and project meetings.
- Managing documentation, records, and information flow across the team.
- Coordinating procurement and consultant engagements.
- Liaising with stakeholders to keep projects on track and deadlines met.
About You
You're a proactive, organised professional who thrives in an environment where priorities can shift quickly. You're confident managing multiple deadlines, engaging with stakeholders at all levels, and delivering high-quality work under pressure.
You'll bring:
- Proven experience in administration, project coordination, or executive support within large, complex organisations.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with systems like SharePoint, TRIM, Ellipse, or iBuy.
- Excellent communication skills, both written and verbal, and the ability to liaise effectively with diverse stakeholders.
- A collaborative mindset, a high level of initiative, and a commitment to continuous improvement.
