About the Role

As an Administration Assistant at Royans Kewdale, you will be a vital part of our branch operations, ensuring the seamless flow of financial and administrative processes in a fast-paced workshop environment. Your exceptional organisational skills, initiative, and customer-focused mindset will help us deliver outstanding service to both our clients and team. This is a hands-on role for someone who takes pride in accuracy, enjoys variety in their workday, and thrives on building positive relationships across the business.

Key Responsibilities

  • Process accounts receivable and payable, including reconciliations and manage supplier invoices.
  • Allocate and record client payments, maintain accurate financial records, and prepare monthly statements.
  • Communicate with clients regarding billing, payments, and general enquiries.
  • Ensure up-to-date job file creation, filing and housekeeping (including electronic files) so that all data is easily accessible.
  • Support reception duties—answering calls, greeting visitors, managing correspondence, and processing payments.
  • Payroll backup, including verifying hours for accuracy, with authority from the Manager/Workshop Manager/Assistant Workshop Manager.
  • Assist with branch events and provide general administrative support to the Branch Manager.
  • Typing estimator quotes and entering data as it becomes available.
  • Liaise with Insurance Companies to ensure the timely return of paperwork.

What You'll Bring

  • Experience in accounts receivable/payable or bookkeeping.
  • Proficiency in accounting software (e.g. iBody, Xero) and Microsoft Office programs.
  • Strong attention to detail, time management, and communication skills.
  • A positive, proactive approach with a willingness to learn and support the team.
