Wedding & Events Coordinator

Are you passionate about creating seamless and unforgettable event experiences? RACV is looking for a detail-oriented and customer-focused Wedding & Events Coordinator to join our team and help deliver exceptional service across a wide range of conferences, meetings, and special events.
About the Role
As the Wedding & Events Coordinator, you'll be the key contact for clients from initial enquiry through to post-event follow-up. You'll manage bookings, coordinate logistics, and ensure every detail is executed to perfection. Working closely with internal departments, you'll help deliver events that exceed expectations and drive business growth.
Key Responsibilities
- Coordinate all aspects of wedding and conference bookings, including accommodation, dining, and venue setup.
 - Prepare accurate quotes, booking agreements, and invoices in line with RACV policies.
 - Conduct meaningful site tours to convert new business
 - Liaise with clients to understand event requirements and provide expert guidance.
 - Create and distribute detailed Event Orders and updates to internal teams.
 - Maintain strong client relationships before, during, and after events.
 - Collaborate with internal departments to ensure smooth event delivery.
 - Attend weekly operations and sales meetings to communicate event details.
 - Ensure compliance with RACV service standards, policies, and procedures.
 
This role is a permanent full-time position, during the day to work in with event sales and planning. Some nights and weekends are required for this role depending on business requirements.

We're looking for…
- Previous experience in event sales and planning within a 4/5 star Resort or Environment
 - Well organised and can prioritise, time manage, have a keen eye for detail, have excellent communication and people interaction skills
 - Ability to manage multiple events concurrently
 - Be well presented and groomed, have excellent interpersonal skills and the willingness to develop current skills and undertake new skills as demanded by the market
 - It is an essential part of this role to assist with developing business, so sales experience will be considered an advantage
 - A team player who displays initiative and a positive mindset
 - High quality of work and attention to detail
 - Knowledge of Microsoft Office Suite and Opera desirable
 - Weekends, evening, and public holiday work may be required

 - An understanding of hospitality industry in event, membership or accommodation areas
