This includes online booking systems and complementary scheduling and marketing tools.

About You: You're proactive, organised, and passionate about delivering great customer service. Experience as a Scheduler, Service Coordinator, Appointment Setter, or a similar role is an advantage—but not essential. Most importantly, you're eager to learn and ready to contribute to a supportive team environment.

Job Description: As our Scheduling & Service Coordinator, you'll play a key role in managing service appointments and supporting both customer enquiries and internal scheduling needs. You'll help keep workflows running efficiently and ensure our customers receive timely, professional service.

Responsibilities:

  • Coordinate and schedule appointments using Service Titan.
  • Manage and coordinate the service team calendars to ensure efficient scheduling of jobs.
  • Maintain accurate and detailed records within Service Titan.
  • Follow up with clients to confirm appointments and provide any necessary information about our garage door products and services.
  • Liaise with residential builders, technicians, installers, and other key internal and external key stake holders to ensure jobs are completed on time.
  • Order parts and materials as required to support job completion.
  • Handle phone and email correspondence with professionalism, ensuring strong communication between all parties.
  • Contribute to process improvement and team efficiency.

Requirements:

  • Demonstrated experience in service coordination / scheduling is highly regarded within a relevant industry. (Eg trades/installation/construction industry)
  • Experienced and strong project administration skills
  • Prior use of job management software is advantageous - SimPRO, AroFlo, Service Titan, Service M8
  • Strong organisational skills with the ability to prioritise tasks and make decisions independently
  • Excellent communication and stakeholder management skills
  • Confident in overseeing others and taking responsibility for smooth departmental outcomes
  • Reliable, proactive, and able to work well under pressure in a fast-paced environment
