About the Role
As the Contracts Administrator in the Caroline Springs office, you will manage the procurement, budgeting, and documentation processes across various stages of construction. This is a fast-paced and rewarding role where you will liaise with clients, contractors, and consultants to ensure every project is executed efficiently, on time, and within budget.
Key Responsibilities
Procurement & Budgeting:
- Procure materials and services within budget while ensuring compliance with Australian Standards.
- Accurately estimate and assess building material take-offs required for all project stages.
- Process Bills of Quantities (BOQs), prepare purchase orders (POs), and manage budgets and cashflows.
Documentation & Compliance:
- Prepare tender packages, review quotes, and manage contract variations (VQRs).
- Organise building permits and ensure all documentation and applicable permits are in place prior to and during construction.
- Conduct handovers, including obtaining occupancy permits and liaising with clients.
Stakeholder Management:
- Collaborate with site supervisors, consultants, clients, and local councils to manage all aspects of the construction process.
- Liaise with contractors and identify opportunities to engage new suppliers.
Project Coordination:
- Manage and deliver multiple projects simultaneously, ensuring timelines and budgets are met.
- Prepare site folders, signs, and laminated plans for the site team.
- Resolve discrepancies by collecting and analysing project information.
Reporting & Claims:
- Generate progress claims, issue variations, and manage extensions of time (EOTs).
- Provide regular client reporting and ensure all milestones are met.
About You
We are seeking a candidate with a minimum of 3-5 years proven experience in contract administration, construction estimating, or a related role, who has a strong understanding of construction processes, procurement, and compliance requirements. The ideal candidate will possess excellent communication and interpersonal skills to effectively liaise with diverse stakeholders, as well as exceptional organisational abilities and attention to detail, enabling them to manage multiple projects simultaneously.
