Job Description

Griffith University's Institute for Biomedicine and Glycomics brings together Griffith's formidable strengths in biomedical research. By combining the outstanding discovery and translational research, infrastructure, and training expertise of the Griffith Institute for Drug Discovery, the Institute for Glycomics and biomedical teams from within the former Menzies Health Institute Queensland we will deliver real and immediate impacts locally and globally, transforming the lives of people around the world, especially those in disadvantaged communities.

The Administrative Assistant will be responsible for the efficient and effective daily management of the reception desk, the provision of administrative support to the Institute, and co-ordination of associated office duties ensuring high standard service delivery and outcomes.

Key responsibilities include:

  • Manage the Institute reception desk effectively and perform reception duties including; greeting visitors, answering and redirecting all incoming calls, management of key and access card registers and managing entry into the Institute's car parks.
  • Provide high-level administrative support to the Executive Officer including; arranging meetings, events/activities coordination and execution, records management, processing of correspondence and documents, database management and a range of electronic diaries, support with human resource matters such as recruitment and induction of new staff and students.
  • Diary management for senior Executives including all meetings and other commitments, arranging conference registrations and travel, if required.
  • Provide administrative support to Institute Committees as required.
  • Coordinate and submit reimbursement and payment requests and provide ad-hoc support to other members of the Institute as required.
  • Provide back-up and support to the Administration team and undertake other duties as required as relevant to the role.

About you

The successful candidate will have completion of a diploma or certificate level qualification with relevant work experience, or an equivalent combination of relevant experience and/or training.

You will also have:

  • Demonstrated experience in front desk and reception duties, including greeting visitors, managing incoming calls, maintaining access registers, and overseeing car park entry procedures with professionalism and efficiency.
  • Proven ability to provide high-level administrative support.
  • Strong organisational and time management skills.
  • Experience in committee support, including preparing agendas, taking minutes, and coordinating follow-up actions in a timely and accurate manner.
  • Ability to work collaboratively within a team.
  • Excellent interpersonal and communication skills, with a customer-focused approach and the ability to liaise effectively with internal and external stakeholders.

What we can offer

This is a fixed term (available until end 2026), full-time position and will be primarily based at Griffith University Gold Coast. As Griffith is a multi-site University you may be required to work across other locations. Griffith University's campuses are located on the lands of the Yugarabul, Yuggera, Jagera, Turrbal, Yugambeh and Kombumerri peoples.

Salary Range

The full-time base salary for a HEW Level 4 is in the range $73,623 - $77,680 per annum, plus 17% employer superannuation. The total package is in the range $86,139 - $90,886 per annum.
