Westco Motors has an exciting opportunity for a detail-focused and motivated Vehicle Sales Administration Clerk to join our professional Administration team.

This vital role supports our sales operations by ensuring all vehicle transactions are processed accurately and efficiently — from deal invoicing and trade-ins to stock reconciliation and floor plan administration.  You'll play a key part in keeping our dealership running smoothly and maintaining the high standards our customers expect.

You will be perfect for this role if you:

  • Have previous experience in automotive administration or dealership accounting (highly regarded)
  • Are confident handling deal processing, invoicing, and trade-in settlements
  • Have strong attention to detail and accuracy in data entry and reconciliation
  • Are organised, reliable, and able to manage multiple priorities and deadlines
  • Possess solid communication skills and a proactive approach to problem-solving
  • Are proficient with Microsoft Office (especially Excel and Outlook); DMS experience (e.g. Pentana, ERA, Auto-IT) is an advantage
  • Enjoy working as part of a supportive and professional team

Key Responsibilities:

  • Process vehicle sales deals and invoicing accurately and in a timely manner
  • Handle trade-ins, payouts, and acquisitions, ensuring all documentation is complete
  • Maintain vehicle cost and stock reconciliations, identifying and resolving discrepancies
  • Manage vehicle floor plan payouts and ensure accurate financing records
  • Provide support to the Stock Controller with registration and compliance tasks when required
  • Perform general ledger and accrual reconciliations related to vehicle sales
  • Liaise with sales consultants, business managers, and finance teams to ensure deal accuracy
  • Support end-of-month processing and reporting for the Sales Department
  • Assist with other administrative duties as required
