The Role:

The Accounts Administrator / Accounts Payable Officer is responsible for managing end-to-end AP processes including invoice processing, supplier payments, statement reconciliations, expense management, and maintaining accurate financial records. The role ensures timely payments, strong supplier relationships, and compliance with internal controls and company policies.

Key Responsibilities:

  • Receive, verify, and process invoices into the accounting system
  • Ensure accuracy of invoice details (amounts, tax, supplier, job coding, approvals)
  • Match invoices to purchase orders and goods/service receipt records where applicable
  • Investigate and resolve discrepancies or incomplete documentation
  • Prepare weekly and monthly supplier payment runs
  • Process employee expense reimbursements and corporate credit card transactions
  • Reconcile supplier statements against ledger balances
  • Maintain accurate ageing reports
  • Follow up outstanding or missing invoices/credits
  • Coordinate credit notes and journal adjustments
  • Maintain positive, responsive supplier communication
  • Support supplier onboarding
  • Respond to AP enquiries from suppliers, procurement, and project teams
  • Liaise with internal stakeholders to ensure invoice approval workflows are followed
  • Maintain compliance with company financial controls
  • Support month-end close activities
  • Provide AP reports, insights, and analysis as requested
