What this job involves

The Property and Facilities Assistant will assist the Operations Manager with the delivery of quality property and facilities management services across a government owned portfolio.

  • Assist with preparation of budgets, outgoings recoveries
  • Assist with monthly report preparation
  • Issue purchase orders and set up contracts in Property Management systems
  • Monitor and actively pursue rental arrears
  • Assist in Rent Review process (Fixed and CPI)
  • Coding of creditor Tax Invoices
  • Assistance with Tenant Account Queries
  • Assist with production of Tenant Tax Invoices and Reconciliations across portfolio.
  • Liaise with contractors, tenants, owners as required to assist the Property Manager & Operations Manager in delivering management services.
  • Co-ordinate Contractor Inductions and Site Access
  • Co-ordinate Tenant Work Requests and Maintenance Tasks through Prism
  • Maintenance Contract Administration
  • Co-ordinate, Set Agendas and Minute Monthly Tenant Meetings
  • General Administration, filing and assistance as required.
