The role 

The Business Planning Coordinator at WA Primary Health Alliance plays a central role in coordinating and implementing the organisation's annual planning framework. This includes managing the development and submission of internal business plans and Activity Work Plans (AWPs) to the Department of Health & Aged Care, ensuring alignment with strategic objectives and contractual obligations. The role involves engaging with stakeholders across all portfolios to assign responsibilities, support new resources, facilitate training, and monitor progress. It also includes tracking funding schedules, collaborating with finance on budgeting alignment, and driving continuous improvement in planning tools and processes. The coordinator acts as a trusted adviser to senior leadership, fostering collaboration and strategic focus across the organisation.

Location: WAPHA Head Office, Level 2, 1 Hood Street, Subiaco (Hybrid Role)

Employment Type: Full-Time Maximum Term contract for 2 years

Salary: Band 4 ($90,000 - $97,000 Plus 12% Superannuation, depending on experience)

Key tasks and responsibilities include but not limited to:

  • Coordinate the organisation-wide annual business planning process, ensuring timely delivery of approved plans and budgets.
  • Manage the review, tracking, and maintenance of funding schedules received from the Department of Health & Aged Care (DHDA).
  • Support internal teams in developing Activity Work Plans (AWPs) and ensure accurate submission through the DHDA PPERS system.
  • Develop and continuously improve planning templates, tools, guides, and systems to support business planning maturity.
  • Facilitate training sessions and provide coaching to senior leaders and teams on planning processes and methodologies.
  • Collaborate with finance and strategy teams to align business planning with budgeting and strategic objectives.
  • Monitor and report on the progress and execution of annual business plans across portfolios.
  • Engage and mentor stakeholders including the Executive General Management (EGM) and Senior Leadership Team (SLT).
  • Extract and analyse data to support planning decisions and organisational reporting.
  • Foster collaboration across operational portfolios and ensure strong stakeholder engagement and change management support.

About you

To be considered for this role, candidates must meet the following selection criteria:

Essential experience and education 

  • Tertiary qualification in a related field or demonstrated experience in annual business planning.
  • Strong knowledge of business planning principles, methodologies, and tools.
  • Exceptional written and verbal communication skills.
  • Proven ability to work effectively across all levels of an organisation.
  • Demonstrated ability to build and maintain strong stakeholder relationships.
  • Excellent organisational skills and attention to detail.
  • Experience coordinating cross-functional teams and managing timelines.
  • Background in education or training delivery across an organisation.
  • Proficiency in data extraction, analysis, and report presentation.
  • Strong digital literacy, including use of word processing, spreadsheets, and communication platforms.

Preferred knowledge and skills

  • Demonstrated experience interpreting agreements, contracts, and government funding schedules and guidance documentation.
  • Familiarity with change management principles, methodologies, and tools.
