We are seeking a highly skilled and motivated Operations Manager. This is a fast-paced and variety-filled role, which means time flies, and it is 5 pm before you know it. You must have at least 5 years of RTO Administration experience. This is a great opportunity for an operations manager who wants to grow a successful business. Due to the nature of the work and your physical presence for activities in the office, WFH is not an option. This role is a full-time office role. As part of the senior leadership team, this role has a seat at the table on business decisions that are made, and you will be a key player in scaling the business.
About the Role
We are currently seeking a highly experienced and motivated RTO Operations Manager to oversee the day-to-day functions of our training organisation. This is a fast-paced, diverse, and rewarding role ideal for someone who thrives on challenge and wants to have real influence within a growing business.
You'll work closely with the senior leadership team and play a key role in driving business decisions, managing compliance, supporting staff, and improving operational efficiency.

Working closely with all departments, the RTO Operation Manager's role includes:
- Onboarding new trainers, including collecting and verifying qualifications and experience, organising and assisting with induction training and assisting with course start-up.
- Assist with the development, launch and review of new and transitioning training products.
- Assisting and facilitating professional development opportunities and working with stakeholders to ensure all professional development and trainer requirements are met.
- Scheduling, notification of training classes and learners with staff
- Providing advice and guidance to relevant staff, including trainers, assessors, support, and administrative staff
- Assisting with and, where appropriate, responding to escalated learner cases or enquiries, including learners with additional needs, appeals, and complaints under the guidance and direction of the manager
- Attend phone calls and assist with customer queries and bookings.
- Assisting our Training & Compliance Manager with regulatory reporting and audits
- Communicating feedback to management relating to continuous improvement.
- Oversee and manage day-to-day operations of the team, including managing administrative staff, student support officers and trainers & assessors.
- Identifying new business opportunities.
- Developing relationships with external stakeholders, domestic apprenticeship providers, and industry leaders.
- Develop and implement training and assessment strategies.
- Continuously improve and grow the business with innovative and efficient work methods.
- Monitoring the RTO's compliance with the VET Quality Framework
- Develop compliance monitoring plans based on legislative and regulatory requirements.
- Lead all internal auditing for ASQA compliance.
- Assisting with RTO registration, scope extension and compliance audits
- Develop, review, and maintain relevant policies and procedures.
- Support in identifying and managing regulatory risk and overseeing risk-related programs.
- Update existing and create new policies and procedures, and continuously improve the Quality Management System within the Education and Training division for accredited and non-accredited programs.
- Support the complaints process by ensuring responses are timely and accurate.
- Provide support on internal and external audits, prepare audit response reports, and update other relevant documentation.
- Prepare documentation, including policies, standard operating procedures, work instructions, forms, and any other relevant support documentation.
- Keep trainers and RTO managers updated with compliance requirements and changes.
- Coordinate and attend ASQA and contractual obligations training and meetings.
- Undertake reporting, registration, and compliance declarations for the RTO.
- Promote a positive and productive team culture to ensure team member engagement and accountability in achieving their key deliverables.
- Recommend innovative initiatives and business improvement strategies.
- Policies, procedures, and processes within the RTO are interpreted, drafted, and reviewed through key stakeholder engagement.
- Manage day-to-day operations of the RTO, ensuring consistency with legislative requirements, quality standards and performance against strategic objectives.
- Management of RTO scope of registration resources, ensuring currency with accredited training reporting and auditing requirements
- Develop business opportunities that extend the service of the RTO through building and developing new streams and client base.
- Ensure overall compliance of the RTO with all relevant external bodies, including contract requirements, quality assurance, accreditation, and legislative requirements.
- Produce well-researched, timely, and accurate reports as related to the team's activities, tailored to the needs of the audience.
- RTO processes and practices are continually reviewed, ensuring the delivery of quality outcomes and results for internal and external stakeholders.
- Allocated budgets are effectively managed, demonstrating cost-effectiveness and efficiency in the pursuit of team objectives.
- ADHOC office duties to run the daily operation of the RTO.
- Adequate controls are in place to manage contracts, governance, compliance, and risk across the team.
About You
- Minimum 5 years of experience working in an RTO.
- Minimum 12 months of experience in an equivalent-level role within the VET sector
- Previous experience in CRICOS is desirable but not essential
- TAE qualifications are desired but not required.
- A self-starter who can assist with delivery across multiple jurisdictions with a high volume of students.
- Good communication skills
- High accuracy with attention to detail
- Experience in online delivery or a similar scope is highly valued.
- Sound business acumen
- Prior experience with a range of funding contracts
- Ensuring the RTO meets all regulatory requirements of ASQA and state regulators.
- Positive and supportive leadership style
- Experience working with VETtrak software is desirable but not essential.
- Up-to-date working knowledge of key legislation, policies, and procedures relevant to Registered Training Organisations, including RTO Standards,State and National student reporting requirements, including total VET activity and quality indicator reports.
- The ability to conduct quality assurance reviews and maintain tracking sheets for reporting.
- Continuous improvement experience and skills in optimising work processes
- Ability to plan, control, coordinate and manage activities with minimal supervision.

- Ability to be flexible and adapt to change.
- Effective communication and collaboration with stakeholders
