To support our significant and ongoing expansion, we have an excellent opportunity for a Data Administrative Assistant to join our team. The position will be responsible for administering and maintaining our database and CRM system.

Key Responsibilities

Data Management & Entry:

  • Accurately entering new data into databases, spreadsheets, and ERP & CRM systems.
  • Updating and maintaining existing records to ensure they are current and complete.
  • Transferring data from paper formats or various digital sources into a central system.

Data Quality & Cleansing:

  • Regularly reviewing data to identify and correct errors, inconsistencies, or duplicates.
  • Performing data cleansing activities to "scrub" databases and improve overall data quality.
  • Verifying data with source documents or by communicating with other team members.

Reporting & Retrieval:

  • Generating routine reports (e.g., weekly sales figures, monthly customer activity) from databases.
  • Retrieving specific data sets for colleagues or managers upon request.
  • Assisting in the preparation of presentations by providing the necessary data points and charts.

Administrative & Support Tasks:

  • Maintaining filing systems for both digital and physical data records.
  • Supporting the data analysis with administrative tasks related to any projects.
  • Managing data-related documentation and ensuring compliance with data privacy policies

Essential Skills and Qualifications

To succeed in this role, a candidate needs a blend of technical aptitude and traditional administrative skills.

Hard Skills:

  • Advanced Proficiency in Microsoft Excel / Google Sheets:  Skills should go beyond basic data entry to include formulas, VLOOKUP, HLOOKUP, pivot tables, and data sorting/filtering.
  • Database Management: Experience with database and CRM systems (e.g., Salesforce, CIN7, HubSpot) is highly desirable.
  • Data Privacy Awareness : Understanding the importance of confidentiality and data security protocols.
  • General Tech Savviness  : Comfortable learning new software and digital tools quickly.

Soft Skills:

  • Exceptional Attention to Detail: The ability to spot tiny errors or inconsistencies is the most critical soft skill for this role.
  • Strong Organizational Skills: Managing large volumes of information and multiple tasks requires excellent organization.
  • Time Management: Ability to prioritize tasks and meet deadlines consistently.
  • Problem-Solving: Identifying a data issue and figuring out the best way to resolve it.
  • Clear Communication: Being able to communicate effectively with team members to verify information.
