About the Role
We are seeking an experienced Event Coordinator to lead the planning and operational delivery of events and ticketing on behalf of the Central Coast Mariners. While employed by VenuesLive, this role will be embedded within the Mariners organisation, working closely with internal departments to drive event day success, ticketing operations, and fan engagement outcomes.
The successful applicant will work hand-in-hand with the Mariners staff, while also receiving ongoing support and guidance from the VenuesLive team. This dual connection ensures the role has both the resources of a leading venue management company and the ability to directly influence and deliver high-quality match day and event experiences for the club and its stakeholders.
Key Responsibilities
Event & Game Day Delivery
- Coordinate and liaise with all event day contractors and suppliers to brief, manage, and debrief (including but not limited to venue, caterers, security, ticketing, first aid, police, broadcasters, and casual/promotional staff).
- Support the delivery of events from gates open to event finish, including precinct theming, branding, and activations.
- Oversee venue set-up, bump-in/bump-out schedules, and the overall game day operation.
- Act as the primary liaison between the club and the venue, ensuring effective communication and coordination.
- Manage accreditation applications and distribution.
- Prepare and maintain key event documentation, including event plans, risk assessments, run sheets, and emergency/risk management plans.
Ticketing
- Assist in ticket operations in conjunction with the ticketing agency and venue ticketing contact.
- Oversee access to ticketing systems and software, including reviewing ticket holds, event builds, pricing, and category splits.
- Manage the extraction and allocation of complimentary tickets.
- Support box office requirements and game day ticketing operations.
Operations
- Work with the venue and stakeholders to determine staffing levels for security, ushers, and casual staff.
- Coordinate car parking requirements for VIPs, sponsors, players, referees, staff, media, and broadcasters.
- Liaise with home and away team departments on operational requirements.
- Participate in traffic and transport planning with relevant agencies.
- Ensure contractor compliance with WHS requirements (insurance, licences, inductions, etc.).
- Manage medical requirements for event days (paramedics and doctors).
- Develop and implement emergency and risk management plans.
- Manage the public ticketing process, including box office oversight.
Administration
- Provide administrative support to the department as required.
- Reconcile venue and game day expense budgets.
- Maintain departmental documentation to a high standard.
- Collate and track post-event debrief items from internal and external stakeholders.
- Prepare post-event evaluation reports with insights and recommendations.
Stakeholder, Fan & Sponsor Engagement
- Work with internal and external stakeholders, including community and fan experience teams, to implement match day activities.
- Collaborate with sponsors to deliver contractual activations and promotional activities.
- Respond promptly to enquiries, complaints, or feedback relating to the event experience.
- Contribute to operational improvements that enhance the fan and stakeholder experience.
- Plan and support the execution of non-event day activities such as community programs and end-of-year events.
Skills & Qualifications
- Tertiary qualification in Event Management or similar.
- Strong communication, literacy and numeracy skills.
- Writing skills to a high standard.
- Accuracy and attention to detail.
- Ability to simultaneously coordinate multiple tasks and meet deadlines.
- Strong IT skills and competency in Word, Excel and Outlook.
In addition to the above criteria, attention to detail, a customer focus, high levels of energy, willingness to work flexible hours in line with the requirements of polytec Stadium's event schedule (which includes evening and weekend work) and a positive 'can do' attitude and willingness to learn, is what is required to successfully undertake this position.
