About This Opportunity 

We are seeking a proactive, organised, and customer-focused Senior Administration Officer to ensure the effective and efficient operation of UQ Venues. This key role manages administrative systems, coordinates financial and procurement processes, and supports customer-facing operations across our portfolio of event spaces and restaurant. You will play a vital part in the smooth delivery of high-quality services for both internal and external clients, directly supporting the University's engagement and conferencing activities.

Key responsibilities will include: 

Financial Management and Reporting

  • Manage all financial administration, including processing purchase orders, credit card payments, and account reconciliations for UQ Venues. You will initiate internal journals for trading activities, assist with budget forecasting, and generate regular financial reports and analysis for the Director.

Administrative Systems and Compliance

  • Design and implement a range of administrative and business processes and activities, including developing high-quality administrative systems and standard operating procedures (SOPs). You will coordinate administrative support for compliance with health, safety, and food service regulations.

Team Leadership and Operations Support

  • Supervise and manage the administration team. You will also provide expertise in applying management information systems and desktop programs, and assist with customer service processes, including managing feedback and supporting front-of-house operations during events.

Asset and Stock Management

  • Oversee asset and stock management, including conducting the annual asset stocktake and inventory control for venue and restaurant operations. You will support the successful delivery of events ensuring all administrative readiness for venue and restaurant operations.

About You  

Essential

  • Degree with subsequent relevant experience, or extensive experience and specialist expertise in administrative fields. This includes demonstrated ability to apply and understand a range of rules, policies, and processes within a relevant regulatory context.

  • Demonstrated skills in providing a high level of customer service, coupled with excellent interpersonal, written, and verbal communication skills. You must have the ability to manage complex inquiries by interpreting relevant policy and procedures.

  • Excellent organizational, time management, and problem-solving skills. This includes proven office management capabilities and the ability to effectively plan and implement high-quality administrative systems.

  • High level of proficiency in the Microsoft Office suite (Word, Excel, PowerPoint, and Outlook).

  • Working knowledge of University administrative systems, policies, and procedures, or the capacity to rapidly acquire this knowledge.

Desirable

  • Experience in a hospitality environment is highly regarded.
