About the role
Transport and Waste Solutions, a leading provider for repair and servicing of Hiab and Palfinger Cranes, is seeking a talented and highly organised Administration and Scheduling Officer to join our team. This full-time role will be responsible for managing administrative tasks and coordinating the schedules of our workshop team, ensuring efficient operations and a seamless customer experience.
What you'll be doing
- Providing administrative support to the operations team, including data entry, filing, and document management
- Scheduling and coordinating jobs for our workshop technicians whilst optimising their time
- Communicating on the phone and face to face with customers to confirm appointments and address any queries or concerns
- Maintaining detailed records of job progress and client interactions
- Maintaining the workshop team's daily timesheets and updating job allocation times accordingly
- Entering Purchase Orders and matching supplier invoices on receipt of goods
- Invoicing clients on completion of jobs
- Processing credit card payments via EFTPOS
- Assisting with the preparation of reports and other business-critical documents
- Contributing to the continuous improvement of our administrative processes and procedures
What we're looking for
- Demonstrated experience in a fast paced administrative, accounts or scheduling role, preferably within the construction or trades industry
- Excellent communication and customer service skills, with the ability to build strong relationships with both internal and external stakeholders
- Proficiency in using office software, such as Microsoft Office Suite, and the ability to quickly learn new systems and tools
- Strong organisational and time-management skills, with the ability to multitask and prioritise effectively
- A keen eye for detail and a commitment to maintaining accurate records and data
- A proactive and collaborative approach to problem-solving
