About the Role

The Strategy and Operations Manager at Kic is the CEO's strategic partner and operational right-hand, responsible for driving execution across the business operating with autonomy and not requiring large amounts of direction. This role translates strategy into action, optimising internal systems, ensuring data-driven decision-making and leading cross-functional initiatives that span digital expansion, studio growth, and product development.

The Operations Manager brings deep proficiency in data analysis, AI-powered automation, and reporting infrastructure to streamline operations and unlock growth. This is a high-trust, high-impact role for someone who can independently represent the CEO, drive projects to completion and build the operational backbone needed to support the scale of Kic's holistic wellness ecosystem.

About Kic

Founded in 2015, Kic is currently a leading global health and wellbeing subscription app on a mission to change the relationship people have with wellness and themselves.

Over the past 10 years, Kic has used its movement, mindfulness and meals-based content to cultivate an engaged global community of over 2.5 million, predominantly females aged 20–35, across multiple channels. Our dedication to meeting our community's needs is reflected in the 750,000 app downloads and 5.5 million workout completions we have had to date.

Building on this momentum, Kic is now expanding beyond digital, exploring new ways to nurture and engage our community through in-person wellness spaces and the launch of physical products aligned with the company's ethos.

The team behind Kic is a small but mighty group of 14, mostly based in Melbourne, working across content, marketing product and operations to drive our mission forward.

Key Responsibilities

Strategic Operations & Execution

  • Partner with the CEO to design and execute Kic's annual strategy across digital (app/content), physical (studios), and product (FMCG) growth pillars
  • Lead cross-functional strategic initiatives from inception to delivery, owning outcomes and timelines
  • Set and manage OKRs across the business, ensuring clarity, accountability, and alignment at every level
  • Establish and maintain the company's operating rhythm (planning cycles, meetings, reporting cadence) to drive transparency, focus, and agility
  • Represent the CEO in internal and external meetings, driving decisions and maintaining momentum on key projects
  • Work closely with Product, Marketing, Content, Growth, Engineering, and Studio teams to ensure seamless cross-functional ways of working
  • Drive and deliver key strategic initiatives aligned to company targets (e.g., studio expansion using playbooks and frameworks, electrolyte product launch)
  • Collaborate with leadership on operational budgeting, tracking, and optimisation
  • Develop robust measurement and reporting for ROI on all strategic initiatives

Data, Reporting & AI/Automation

  • Build, maintain, and continuously improve automated reporting dashboards that provide real-time insights on user behavior, acquisition, retention, product performance and studio metrics
  • Partner with AI consultants and internal teams to embed AI-first approaches that reduce manual workload, optimise reporting accuracy, and increase speed of insights
  • Lead the preparation and delivery of Board reporting, ensuring operational, financial, and strategic performance is captured with clarity and actionable insights

Tools, Systems & Infrastructure

  • Own all business tools, systems, and infrastructure, ensuring alignment with budget, effective utilisation and measurable impact
  • Maximise value from Kic's subscriptions and tools by driving adoption and integrating systems to eliminate duplication and manual effort
  • Embed documentation standards (playbooks, SOPs, process maps) to ensure knowledge is accessible and not siloed
  • Manage vendor agreements and renewals to ensure contractual compliance and best value

Pricing & Packaging Strategy

  • Partner with Product and Growth teams to design and lead pricing and packaging strategy across digital subscriptions, physical products, and studio services
  • Analyse customer behavior, market dynamics, and competitor insights to ensure pricing models are competitive, scalable and maximize LTV
  • Test and iterate packaging strategies to optimise acquisition, retention, and ROI
  • Ensure pricing and packaging decisions align tightly with brand positioning, customer experience, and long-term growth goals

Governance & Risk Management

  • Own operational compliance across the business (policies, data privacy, contracts, etc.)
  • Ensure risk management processes are in place to identify and mitigate operational risks
  • Oversee third-party risk management processes and review vendor service contracts

Security & IT Oversight

  • Ensure appropriate testing and background checks are completed where applicable
  • Ensure employees and contractors are aware of their security and confidentiality obligations
  • Oversight over Identity Management and Access Control for devices and physical IT infrastructure
  • Responsible for the design, development, implementation, operation, maintenance, and monitoring of IT security controls

About You

You're the person who sees a broken process and immediately moves into solution mode, ideally by automating it entirely. You're obsessed with AI and automation, already using these tools daily to eliminate busywork and scale operations. You don't just spot inefficiencies; you build systems that prevent them from happening again. You're commercially minded, connecting operational improvements directly to business impact, and you're comfortable working with data to surface insights that actually drive decisions.

You are responsive and efficient while holding relationships, personal connection and empathy at the forefront of all you do. You are a 'doer' while also understanding, respecting and using the art of collaboration and taking others on the journey.

This role requires someone who can genuinely operate as the CEO's proxy, internally and externally. That means running meetings, making judgment calls, and representing Kic with complete confidence to stakeholders, vendors, and partners. You thrive in ambiguity and move fast without hand-holding.

Key Skills

Essential:

  • Experience in Operations, Consulting, or Strategic Project Management roles with a strong focus on implementing and improving internal operations practices (tooling, reporting, meeting cadence, ways of working)
  • Experience working with consumer-facing products
  • Deep proficiency in data analysis and AI/automation, with proven ability to build and work with dashboards and analytics (in partnership with specialists/consultants) and translate insights into clear business recommendations
  • Proven ability to manage cross-functional initiatives, embed frameworks (e.g., OKRs, playbooks) and track delivery against targets and timelines
  • Strong financial and commercial acumen with the ability to connect operational decisions to measurable business impact
  • Excellent communication and stakeholder management skills with the ability to work cross-functionally, drive alignment and secure adoption of new processes
  • Experience working with a suite of AI tools and embedding them into business operations to improve outcomes
  • Highly reliable, self-directed and able to operate independently with minimal oversight
  • Ability to represent the CEO with confidence, judgment, empathy and authority

Desirable:

  • Experience in subscription-based technology companies or wellness/fitness businesses
  • Experience supporting physical product launches (FMCG) or studio/retail expansion
  • Familiarity with pricing and packaging strategy
  • Understanding of attribution modelling and growth marketing metrics
  • Background in IT security, compliance, or vendor management
