Location: Muswellbrook  (Mine Site Office)

Hours: 15–20 hours per week

About the Role

At Yore Contractors we are Polywelding Specialists with 50+ years experience in infrastructure projects across NSW and QLD. Our expertise spans coal seam gas extraction, gas drainage, water management & tailings installations.

We are seeking an organised and proactive Administration Support Officer to join our team and provide essential assistance to the Office Manager, Project Support Manager and Directors.

This role is based at BHP MT Arthur Muswellbrook Contractor Office on lease, (no mine site access is required) and involves a wide range of administrative, financial and project support tasks.

The ideal candidate should be confident using basic Xero functions, coordinating travel arrangements, managing data entry and supporting the day-to-day operation of a busy office environment.

Key Responsibilities

Financial & Data Management

  • Process supplier and contractor payments.
  • Reconcile Xero transactions and maintain accurate financial records.
  • Enter pre-start information for data utilisation and reporting.
  • Maintain operational databases, ensuring accuracy and confidentiality.
  • Upload and schedule employee and contractor medicals, ensuring records are current and accessible.
  • Generate customer invoices in Xero (backup)

Travel

  • Book flights for employees.

General Administration

  • Data entry, scanning and filing (electronic and hard copy).
  • Answer and direct incoming calls and emails.
  • Coordinate incoming/outgoing mail services.

Project & Compliance Support

  • Assist with timesheet collection and payroll preparation support (backup)
  • Maintain and update Monday application
  • Support Health, Safety and Environment (HSE) documentation and compliance records.

Other Duties

  • Undertake general errands as required.
  • Liaise with suppliers and customers
  • Organise vehicle inspections

Skills & Experience

  • Previous experience in an administration or office support role.
  • Proficiency in Xero and Microsoft Office.
  • Strong organisational and time management skills.
  • Excellent attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Clear and professional communication skills.

Requirements

  • Must have a valid driver's licence and own vehicle.
  • Ability to work on-site at a mine location in Muswellbrook 3 days per week 9.30am – 2.30pm
  • Flexibility to work 15–20 hours per week, with potential for occasional additional hours to support leave cover.
