We are seeking an organised and proactive Allocations Assistant to join our team in Mulgrave. This is an office based role supporting our Hire Manager with the daily scheduling and coordination of plant, trucks, equipment, and operators across multiple projects.

About the Role

As an Allocations Assistant, you will work closely with our Hire Manager to ensure smooth operations each day. Your responsibilities will include:


• Assisting with scheduling and allocation of plant, trucks, equipment, and employees.


• Entering and updating allocation data (on/off hires, stand-downs, changes).


• Preparing and issuing purchase orders for transport and hire.


• Monitoring GPS tracking reports and machine availability.


• Supporting communication between site supervisors, operators, and clients.


• Maintaining accurate allocation and plant records.


• Assisting with invoicing, timesheets, and other allocation-related admin tasks.

About You

To be successful in this role, you will have:


• Prior experience in allocations, logistics, or scheduling (plant hire/civil preferred).


• A good understanding of plant/equipment and truck operations.


• Strong organisational skills and attention to detail.


• Ability to work under pressure and adapt quickly to changes.


• Excellent communication skills to liaise confidently with staff and clients.


• Competency with computer systems (Excel, allocation software, email, etc.).
