A role with variety and purpose:

As a Patient Services Coordinator / PA, you will provide essential support to our Clinicians and ensure seamless front desk services for our clinic.  You will assist patients with their initial clinic engagement, offer administrative support, and ensure the highest level of service is provided to both patients and internal teams.

Under the guidance of the Patient Services Team Leader, you will be involved in managing schedules, coordinating communications, and handling a variety of administrative and financial tasks, contributing to the smooth running of our Sydney CBD and Kogarah clinics. Responsibilities will include:

  • Assisting at reception as the first point of contact for patients, offering a warm and compassionate welcome.
  • Managing clinic bookings, appointment schedules, and patient correspondence, including triaging incoming calls and emails.
  • Supporting our Clinicians with their personal and professional needs, including diary management, correspondence, and general coordination, ensuring smooth practice management.
  • Coordinating theatre lists and managing patient admission and consent forms.
  • Ensure patients are informed of appointments and associated costs, securing signed financial consents where applicable.
  • Ensure effective communication with both internal and external stakeholders.
  • Maintain accurate patient records, medical correspondence, and documentation.
  • Take minutes for internal Clinician meetings and assist with general administrative duties.
  • Assist in ensuring Clinicians' work areas are tidy and organised, with all necessary forms and documentation available.

Are you the ideal candidate for us?

Understanding there are ups and down in reproductive health, and will be sensitive to the needs of patients and will support their wellbeing through timely and considered communication. Ideally you will bring the following:

  • Previous experience in medical administration or patient services (highly regarded)
  • Experience supporting Clinicians (advantageous)
  • Excellent communication and interpersonal skills, with a compassionate and professional approach
  • Strong computer and IT skills, particularly Microsoft Office Suite
  • Superior time management skills with proven ability to multitask
  • A flexible, can-do attitude and willingness to assist where needed across the team
  • Knowledge of medical terminology and medical billing
  • Able to prepare professional business documents and letters
