As the
National Operations Support Officer
, you will be the first point of contact for all administration support and enquiries relating to pilot onboarding, processes, meeting minutes, process improvement and general administrative related queries.

The successful applicant will be a team player who can demonstrate excellent organisation skills and an ability to work under pressure and meet deadlines. Strong interpersonal, diplomacy and computer skills are also essential along with the ability to effectively negotiate positive outcomes.

Your Key Responsibilities Will Include

  • As part of the Flying Operations team, provide administrative support and contribute to strategies that go to the achievement of departmental objectives
  • Coordinate and facilitate pilot induction and onboarding activities for all Australian and New Zealand based technical crew.
  • Provide support and problem solving on all general administrative related queries centrally for Flying Operations
  • Work closely with planning team to coordinate scheduling and logistics for new pilots commencing type ratings including accommodation, flights and transport
  • Arrange and coordinate access and renewals for new and existing pilots
  • Assist with the coordination of all base on-boarding, off-boarding, transfers and relocations including internal and external stakeholder communication and management
  • Support flying operations recognition programs and processes
  • Maintenance of employee information and databases
  • Reporting and data analysis
  • Coordinate meeting invites, agendas and minutes for Flying Operations
  • Support the National Operations team with process improvement and project support
  • Provide support and contribute as required to the achievement of departmental objectives including adhoc projects and tasks as directed
  • Travel may be required

To be successful in this role, you will demonstrate the following skills and experience:

  • Previous experience in an administration coordination/support role
  • Experience in a high volume, fast paced environment
  • Accountable and committed to taking full ownership of tasks, ensuring proactive and successful completion from start to finish
  • Strong organisational ability
  • High level of accuracy in documentation, data entry, and compliance processes
  • Demonstrate the ability to manage competing priorities
  • Demonstrates high levels of confidentiality
  • Demonstrates professionalism and composure when addressing questions or unexpected challenges
  • Experience within aviation is preferable, but not essential
  • Strong facilitation skills, including the ability to lead onboarding sessions and engage groups confidently
