About the Role

We are seeking an organised and proactive Paralegal or experienced Administrative Support professional to assist with the coordination and management of the SPHERE project, a major legal conference initiative.

This is an interim opportunity for a detail-oriented individual proficient with technology to support the setup, coordination, and communications activities of a large-scale professional conference.

You'll work closely with our team to manage data, communications, and event systems. A hybrid work pattern (4–5 days per week) offers flexibility, and outstanding performance could lead to a longer-term opportunity with our growing business upon the project's completion.

Key Responsibilities

HubSpot

  • Data review and amending in HubSpot – tidying up incorrect data entries, categorising, research and qualifying information
  • Working with the team creating, developing and ongoing management of invite lists including, pulling together lists of clients, contacts, insurers, brokers to be used for sending ongoing conference EDM's
  • Creating and managing EDMs and email templates related to conference communications
  • Cleansing Excel spreadsheet of contacts, converting to CSV files and uploading to HubSpot.

Entegy


• Manage and coordinate attendee lists / RSVPs within Entegy


• Assist with coordination between HubSpot mailouts and client lists, and attendee records within Entegy with a view to help consolidate the two

SPHERE Inbox


• Management of the SPHERE inbox including actioning requests, seeking instructions based on requests and actioning follow-up


• Sending personal emails from the SPHERE inbox to clients including insurers and brokers

General Administrative Support

  • Provide day-to-day assistance to the SPHERE project team
  • Undertake additional administrative and coordination tasks as required

Skills and Experience


• Must be proactive able to follow instructions


• Proficient with Excel and Outlook


• Experience with HubSpot highly desirable, however not essential


• Willing to learn


• Strong attention to detail
