As the national peak body, OCA advocates for increased research funding, health systems reform and timely access to better treatment options for women living with ovarian cancer, and provides vital and much needed evidence-based, specialist support programs to improve outcomes and quality of life for those impacted by this disease.

After extensive consultation, OCA is embarking on a bold new strategic plan to expand this vital support and advocacy to include women affected by all gynaecological cancers, responding to an urgent, unmet need and aligning closely with national health priorities.

Your Impact
Reporting to the Chief, Finance and Business Services, you will play a pivotal role in enabling OCA's Board, CEO, and Executive Team to deliver on their mission and strategic priorities.
Specifically, you will:
- Prepare and circulate high-quality board and committee papers, including agendas, minutes, and governance documents, ensuring accuracy, timeliness and compliance
- Facilitate board and committee meetings, including follow-up on action items, quality control of papers, and smooth administrative processes.
- Provide executive support to the Chief Executive Officer and Chief, Finance & Business Services including diary management, coordinating meetings and following-up actions.
- Organise the OCA AGM, ensuring legal and procedural requirements are met and that minutes are accurate
- Provide support to the CEO, Board, and committees, including diary management, room bookings, catering, and meeting logistics.
- Manage and oversee all OCA contracts including undertaking contract reviews, approvals and finalisation.
- Maintain accurate company records, ensuring all documentation is up to date, organised and easy to access.
- Maintain records of and track key activities (e.g., insurance, lease, risk, conflicts of interest), and alert leaders to important deadlines or issues, helping OCA stay compliant and organised.
- Provide back-up to the Administration and Office Coordinator
What you bring
You're a natural organiser with a calm, solutions-focused approach and a genuine commitment to purpose-driven work. You enjoy working across governance, administration, and executive support functions. With an adaptable mindset, you're comfortable pivoting with change, embracing new priorities, and supporting others through transformation with positivity and grace.
To this role you will bring:
- At least two years' experience supporting a Board or Committee in a governance or secretariat capacity with a proven ability to prepare clear, consistent and timely board papers.
- Proven experience providing high-level executive support to senior leaders with sound judgement and a proactive approach to anticipating needs.
- Exceptional attention to detail, written communication and proof-reading skills.
- The ability to manage multiple priorities while maintaining discretion and professionalism.
- Strong stakeholder management and relationship-building skills.
- High proficiency in Microsoft Office and SharePoint.
