Role Description
This is a full-time hybrid role for an Experienced CEO Assistant for Administrative Support at AuBnB Pty Ltd. The individual will be responsible for providing executive administrative assistance, effective communication, organization skills, and office administration. The role is based in Melbourne, VIC, with the flexibility for some remote work.
- **Human Resources and KPI Management:**
- Collaborate closely with the HR department to assist in recruitment processes, onboarding new employees, and maintaining employee records.
- Help in the tracking and analysis of Key Performance Indicators (KPIs) to provide the CEO with actionable insights and data-driven recommendations.
- Support in developing and implementing HR policies and procedures that align with organizational goals.
- **Analytical Insights:**
- Gather, analyze, and present data relevant to company performance and strategic initiatives, helping to inform decision-making processes.
- Conduct research on industry trends and competitive landscapes to provide the CEO with pertinent information that could impact the business.
- **Travel Coordination:**
- Plan and organize extensive travel itineraries, ensuring all logistics are managed efficiently, including transportation, accommodations, and meetings.
- Prepare travel expense reports and ensure that all travel arrangements align with company policies.
- **Meeting Coordination and Documentation:**
- Schedule and coordinate meetings with internal and external stakeholders, managing the CEO's calendar to optimize time and resources.
- Take comprehensive notes during meetings, tracking action items and follow-ups to ensure accountability and timely execution.
- **Calendar Management:**
- Proactively manage the CEO's calendar to prioritize commitments, balancing urgent issues with long-term strategic goals.
- Anticipate scheduling conflicts and resolve them effectively, ensuring the CEO is well-prepared for all engagements.
- **Marketing Support:**
- Assist in the development and execution of marketing strategies, including social media management and content creation.
- Coordinate marketing campaigns and events, providing logistical support to facilitate successful outreach and engagement.
- **General Administrative Tasks:**
- Handle a variety of administrative duties including correspondence, filing, online order, and maintaining office supplies to ensure a well-organized environment.
- Act as a liaison between the CEO and other departments, fostering clear communication and collaboration across the organization.
Qualifications
- Executive Administrative Assistance and Office Administration skills
- Strong Communication skills
- Organization Skills
- Experience in Administrative Assistance
- Ability to handle multiple tasks and prioritize effectively
- Proficiency in Google Suite, Slack and Asana
- Knowledge of Airbnb or short-term rental industry is a plus
- Bachelor's degree in Business Administration or related field
- A proactive, resourceful, and adaptable mindset, with a strong passion for supporting executive functions.
