About Build Co
Build Co is a growing construction management company delivering industrial and commercial projects across Victoria. We provide three core services – Construction Management, Client-Side Project Management, and Joint Venture project delivery with registered builders. This mix allows us to partner with clients at different stages, from feasibility and design, through permits and compliance, to full turn-key delivery of industrial, commercial, and residential projects.
The Role
We are seeking a
Part-Time Project Administrator
to support our site and project delivery teams. This is a professional role within a company that is expanding steadily, where your contribution will be visible and valued.
In this role, you will work alongside the Project Director, Coordinators, and Site Managers, maintaining project records, assisting with permits and compliance, and supporting consultant and subcontractor communication. The position is designed as a
part-time role (2–3 days per week)
with a
strong pathway to a full-time position
and career progression as the business grows.
Key Responsibilities
- Maintain internal project folders and drawings on Procore and MS365, ensuring version control and accurate filing
- Assist with preparation of permit packs, compliance submissions, and consultant correspondence
- Record and distribute meeting minutes, update site diaries, and maintain action registers
- Track consultant and subcontractor deliverables, insurances, licences, and compliance records
- Support progress claim preparation by collating evidence and updating registers
- Liaise with consultants and subcontractors to ensure timely delivery of drawings, RFIs, approvals, and other project information
Requirements for this role:
- Currently studying (Construction Management, Civil Engineering, Commerce or related discipline) or 0–2 years' project admin experience
- High attention to detail and disciplined approach to document control
- Proficient in Microsoft 365 (Excel, Word, SharePoint); exposure to Procore desirable
- Clear written and verbal communication for consultant and subcontractor interface
- Organised and reliable, with the ability to follow SOPs and escalate issues promptly
Desirable Attributes
- Experience preparing minutes, registers, or transmittals
- Broader experience in marketing, social media or similar to assist business in other domains
- Organised and proactive, with the ability to follow structured processes and escalate issues promptly
- Team-oriented mindset with an interest in building a long-term career in project administration and delivery
- Willingness to learn directly from senior staff and contribute to improving systems in a growing company
