Build Co is a growing construction management company delivering industrial and commercial projects across Victoria. We provide three core services - Construction Management, Client-Side Project Management, and Joint Venture project delivery with registered builders. This mix allows us to partner with clients at different stages, from feasibility and design, through permits and compliance, to full turn-key delivery of industrial, commercial, and residential projects.
The Role
We are seeking an entry-level Contracts Administrator to support our site and project delivery teams. This is a professional role within a company that is expanding steadily, where your work will be visible and valued.
In this role you will work alongside the Project Director, Coordinators, and Site Managers, gaining hands-on exposure to live projects while developing a clear understanding of how your contribution drives outcomes

Key Responsibilities
- Assist with procurement: drafting subcontract scopes, POs, issuing RFQs, and compiling tender comparisons.
- Maintain internal project folders and drawings on Procore and MS 365, ensuring version control and clear filing.
- Support the project delivery team with document preparation, permits, and consultant correspondence.
- Record and distribute meeting minutes, update site diaries, and maintain action registers.
- Liaise with consultants and subcontractors to ensure timely delivery of drawings, RFIs, approvals, and other project information.
Qualifications:
Tertiary qualification in Construction Management, Civil Engineering, or related discipline.
Minimum requirements for this role:
- 0–2 years' experience in construction, project coordination, or administration (prior experience is highly advantageous).
- Strong attention to detail and disciplined approach to document control (Procore/MS365).
- Ability to manage registers and maintain version control on drawings, permits, and compliance documents.
- Clear written and verbal communication skills suited to consultant, client, and subcontractor correspondence.
- Proficiency in Microsoft Office; exposure to Procore or similar project management systems desirable.
Desirable Attributes
- Demonstrated ability to draft correspondence, meeting minutes, and action registers.
- Competence in handling numerical data (claims tracking, variation logs, compliance registers).
- Organised and proactive, with the ability to follow structured processes and escalate issues promptly.
- Team-oriented mindset with an interest in building a long-term career in contracts administration and project delivery.
- Willingness to learn directly from senior staff and contribute to improving systems in a growing company.
