Role Description

This is a part-time hours) hybrid role for an Administrative Assistant / Accounts Payable. The position is based in Metro Melbourne, VIC with some work-from-home opportunities available. The Administrative Assistant / Accounts Payable will manage day-to-day accounts payable tasks, including processing invoices, performing data entry, and maintaining accurate financial records. The role also involves clerical tasks such as providing administrative support to the senior leadership team.

What You'll Do

  • Own day-to-day finance operations - AP, AR, and bank reconciliations across Xero, Unleashed (Inventory Management), and Shopify
  • Manage trade finance settlements and supplier payments
  • Reconcile receipts (B2C & B2B) and ensure clean monthly allocations
  • Prepare weekly payment runs and supplier uploads
  • Maintain accuracy across supplier statements, remittances, and FX payments
  • Assist with month-end journals, reconciliations (i.e. AP/AR, PAYG, Superannuation etc) and fixed asset management
  • Keep the finance inbox, credit card accounts, and trade finance records up to date

What You'll Bring

  • 3+ years' experience in finance or accounting (FMCG or eCommerce preferred)
  • Advanced Xero skills and a sharp eye for detail
  • Bookkeeping experience is highly advantageous
  • Strong reconciliation and reporting capability
  • Experience across AP/AR, trade finance, and month-end processes
  • Confident communicator who thrives in a fast-paced, high-accountability environment
