Procurement Officer

ACLE Services is seeking a proactive and detail oriented Procurement Officer to join our team. In this pivotal role, you will support the full procurement lifecycle from sourcing materials and negotiating contracts to ensuring seamless and cost-effective purchasing operations. Reporting directly to the Procurement Manager, you'll play an essential part in driving operational excellence and supporting the success of our projects across the business..

Key Responsibilities:

• Identify, evaluate, and prequalify suppliers for solar and BESS projects, including PV module, Tracker, inverters, transformers, batteries, cables and electrical accessories etc.
• Issue Requests for Quotation (RFQs) and tenders, analyze responses, and assist in supplier selection.
• Conduct technical commercial bid evaluations report with input from design team, Commercial team or other teams if necessary.
• Negotiate pricing, delivery and warranties term etc.
• Maintain and update the Approved Supplier List and supplier performance records.
• Draft and Process the Supply Agreement or Purchase Orders (POs) based on project requirements and procurement plans.
• Track order status, monitor on deliveries, coordinate the FAT if needed and resolve discrepancies with suppliers.
• Assist project engineer to ensure all received goods match specifications, conducting quality checks when required.
• Maintain procurement tracking logs and notify stakeholders of delays or issues.
• Work closely with design to ensure timely sign off
• Maintain accurate procurement records, including supplier contracts, technical datasheet, drawings, test certifications etc are received, reviewed and archived.
• Work closely with finance and accounts payable teams to ensure timely supplier payments.
• Assist in supplier performance assessments and risk mitigation planning.
• Assist in preparing procurement budgets and tracking expenses against project allocations.
• Prepare procurement reports and provide insights for management team if needed.
• Liaise with project managers, engineering team, and finance teams to align procurement activities with project timelines.
• Support cross-functional teams in resolving procurement-related issues.
• Provide procurement reports and updates to senior management as needed.
• Coordinate with the engineering team to update the quality and compliance of procured items.
• Address any non-conformance issues with vendors and escalate when necessary.
• Assist Pre-Contracts & Estimating personnel with RFQ & RFT support as required.

What will you bring to the role?

• 3+ years of experience in procurement or supply chain roles, preferably within the renewable energy or construction industry.
• Strong understanding of procurement principles, vendor management, and contract negotiation.
• Proficiency in procurement software and Microsoft Office Suite (Word, Excel, PowerPoint).
• Excellent negotiation, communication, and interpersonal skills.
• Strong negotiation and vendor management skills will serve you well in this role.
• An understanding of Solar PV and BESS components an advantage but not essential.
