Position Summary

The Operations Manager will oversee and coordinate internal operational functions across the business, with a focus on IT system projects, control room improvements, office management, and supplier oversight. This is a cross-functional role responsible for streamlining internal operations, delivering internal projects, and supporting the day-to-day operational readiness of the organisation.

The ideal candidate is highly organised, proactive, and comfortable managing a range of operational activities simultaneously—from office setups to digital transformation.

Key Responsibilities

IT Systems & Internal Projects

• Manage the implementation and improvement of internal systems and digital tools, including enhancements to the 24/7 Control Room infrastructure.

• Lead the Microsoft 365 data migration project, including transition of all data hosting to Australian servers and ensuring compliance with relevant standards (e.g. ISO 27001, SOCI).

• Coordinate with external IT vendors to manage cybersecurity, backups, licenses, and system upgrades.

• Work with internal teams to identify and implement improvements in digital workflows and collaboration platforms.

Control Room & Technical Operations Support

• Oversee ongoing upgrades and reconfiguration of Control Room physical and digital environments.

• Coordinate procurement of control room hardware, displays, communications, and access systems.

• Ensure operational readiness and support Control Room leadership with incident management systems, disaster recovery plans, and reporting protocols.

Office & Workplace Management

• Manage the establishment of new office spaces including leases, fit-outs, utilities, internet, and facilities management.

• Act as the point of contact for all internal office-related matters (supplies, maintenance, access, equipment).

• Support hybrid work policies by coordinating workstation setups, IT provisioning, and access protocols.

Supplier & Contract Management

• Manage relationships with key operational suppliers (IT, telecommunications, office equipment, furniture, cleaning, security, etc.).

• Track contract terms, renewal dates, and service performance, ensuring value and reliability.

• Lead tendering or selection processes for new vendors or office services as required.

Process Improvement & Operational Oversight

• Identify and implement improvements in operational processes, internal communications, and team collaboration.

• Support compliance with internal operational policies and business continuity procedures.

• Maintain records of procedures, office manuals, vendor SLAs, and internal process documentation.

Key Skills & Attributes

• Strong project management and organisational skills.

• Comfortable with both strategic planning and hands-on implementation.

• Excellent communication and stakeholder coordination.

• Familiarity with Microsoft 365 administration, cloud storage, and cybersecurity best practices.

• Proactive, adaptable, and capable of leading multiple workstreams in parallel.

Qualifications & Experience

• 5 years' experience in operations, office or IT project management, or business services roles.

• Experience in infrastructure, energy, technology, or professional services environments is highly desirable.

• Prior experience managing office relocations, control rooms, or internal systems upgrades is a strong advantage.

• Project management qualifications (e.g. PMP, PRINCE2) or IT certifications (e.g. Microsoft 365 Admin) are a plus.
