What is The RoleAs we continue to scale we are looking for a Workplace Experience Coordinator to join our team in our Sydney office and support the Elastician community, to ensure that we drive an even stronger workplace & employee experience - both virtual and in-office.
What You Will Be Doing- Effectively manage the day to day operations of workplace services including meeting room management, pantry & office supplies, employee lunch programs, vendor management, employee health and safety standards, compliance and procedures.
- Develop positive relationships with key-stakeholders and colleagues across APJ region to coordinate and deliver virtual or in-person events and activities in partnership with local teams and the Elastic Cares, Talent Brand and DEI teams.
- Be a champion for crafting a great Elastic Experience for our employees through onboarding and offboarding our Elasticians based in the Sydney office.
- Collaborate closely with the building management for maintenance works including fire hose reel, fire extinguishers, fire alarm, HVAC etc.
- Manage and coordinate ad hoc projects like Service Now updates, office move, branding as needed.
- Source and handle relationship with local vendors for events or other requirements.
- Record maintenance and asset management.
- Handle Audits and ensuring all are compliances are met.
- Processing all invoices and ensure to follow up till payments are made.
- Liaison with STPI, Police, Customs, Fire force and other local government authorities like Municipal Corporation, State government secretariat, state owned and power providers etc.
- Partner with other functions, Internal Events and within the Workplaces team to deliver "Elastic experience" in ways that bring together the people experience elements between space / design, events, wellbeing and workplace services.
- Learn and understand about our flexible workplace services to support and champion high-growth productive environments that benefit all employees.
Maintain an active awareness and understanding of workplace experience trends and innovations that will be key to keeping our employee experience - virtual and in-office - fresh and relevant.
- 2+ years dynamic customer service and hospitality experience in a workplace / facilities management industry (with IT and ITES industries).
- Ability to build effective work relationships at all levels.
- Excellent written / verbal communication skills in English
- Strong problem solving, planning and troubleshooting and analytical skills.
- Effective listener and communicator, able to influence actions and outcomes.
- Proficiency with MS Word, Excel, PowerPoint, and GSuite required; Concur and ServiceNow a plus.
- Excellent follow-up and follow through with ability to stay on top of and anticipate competing and changing priorities.
- Excellent Listening and social skills and ability to communicate with discretion, diplomacy and tact.
- Positive demeanour, open-minded and empathic personality to support employee needs.
