The Position:

This is a head office-based combined role, is primarily responsible for the Finance department's accounts payable (AP) and accounts receivable (AR) functions, while also supporting office administration and travel coordination. The successful candidate should possess both finance and administrative skills, be able to support the day-to-day Head Office operations, and assist project teams where needed. This role does not directly manage travel for overseas project sites.

Key Responsibilities:

Finance Support (AP & AR)

  • Manage accounts payable (AP) and accounts receivable (AR)
  • Review and process invoices
  • Reconcile AMEX monthly statements
  • Support financial reporting and process improvements
  • Coordinate finance-related matters with project teams, suppliers, and HQ departments

Administration & Travel Coordination

  • Oversee day-to-day office operations (answering calls, handling emails, booking meeting rooms, etc.)
  • Manage travel requests and bookings for domestic and international flights and accommodation
  • Coordinate car hire and handle travel-related invoices
  • Manage office supplies and assets (stationery, business clothing, business cards, kitchen, cleaning, etc.)
  • Maintain internal communications and organizational charts
  • Assist with ad hoc office tasks as required

HR Support (HR Duties)

  • Arrange workstations and equipment for new starters
  • Provide support for meetings, including refreshments and required materials

Role Requirements:

  • Experience in finance (AP/AR), administration, and travel coordination
  • Strong attention to detail, responsibility, and ability to handle multiple tasks
  • Excellent cross-departmental communication and coordination skills
  • Accounting software experience, preferably PRONTO but not essential
  • Ability to independently manage multiple tasks and prioritize effectively

  • Experience in the mining or heavy industry or supporting on-site projects
