About the Role
The Quality Officer plays a pivotal role in supporting the operational and compliance success of our RTO.
You'll be responsible for ensuring student records, data, and reporting meet and exceed compliance standards, while contributing to a culture of continuous improvement and exceptional customer service.
Working closely with the RTO Manager, you'll help maintain efficient systems, manage student administration, support audit and compliance processes, and uphold Vative's high-quality education standards.
Key Responsibilities
Administration & Support
- Maintain student records and data entry in VETtrak in line with compliance requirements
- Support the daily operations of the RTO, including enrolments, reporting, and certification
- Provide excellent customer service when liaising with students, clients, and trainers
- Assist with office administration such as filing, archiving, and managing office supplies
Compliance
- Support internal audit activities and continuous improvement initiatives
- Ensure adherence to VET Quality Framework and Skills First Funding Guidelines
- Assist in collecting and reporting AVETMISS and Quality Indicator data
Student Management System
- Manage student results and documentation in VETtrak
- Coordinate issuance of certificates and statements of attainment
- Generate compliance and funding reports as required
Team & Culture
- Contribute to team communication and process improvement initiatives
- Support training and onboarding of new staff or trainees
- Model adaptability, professionalism, and alignment with Vative's strategic direction
About You
You're detail-oriented, proactive, and thrive in an environment where compliance and precision matter. You enjoy keeping systems organised, improving processes, and ensuring data accuracy — all while supporting a passionate team that's dedicated to making an impact through education and excellence.
Essential Skills & Experience
- Administration or customer service background
- Excellent written and verbal communication skills with high attention to detail
- Proficient in Microsoft Office and confident working with databases and spreadsheets
Desirable
- Experience in RTO administration and compliance
- Understanding of VET standards and Skills First Funding
- Experience using VETtrak, VETtrak Cloud, or SVTS
- Certificate IV in Training & Assessment (TAE40116 or equivalent)
