About us

A leading melanoma surgeon is seeking a proactive medical secretary/receptionist to join their team for 3 days/weeks (0.6 FTE). We are a Surgical Oncology Practice within Melanoma Institute Australia, providing top quality care to skin cancer patients. The practice is modern and spacious and is close to public transport.  We strive to provide a warm and friendly atmosphere for all staff, patients, referring doctors and visitors.  This is a dynamic opportunity for an individual who is mature, responsible, highly organized, resilient and ready to take on a key role in a busy and growing practice. You will be the primary point of contact for patients and referrers and play a crucial role in the smooth running of the practice.

Qualifications and Experience (essential criteria)

·       Excellent time management and organisational skills

·       Accuracy and attention to detail are extremely important in this role

·       Confidentiality and a good work ethic

·       Experience with and a good knowledge base of any practice management software

·       Intermediate/Advanced Microsoft Outlook, Excel and Word

·       Good verbal and written communication skills, with staff and patients

·       Flexibility regarding days of work, including flexibility with holidays

·       Ability to work effectively as part of a team and to remain diplomatic and calm in busy or challenging situations

Qualifications and Experience (desired criteria)

·       Previous medical secretarial experience (surgical preferred)

·       Experience with and a good knowledge base of Genie medical software

Tasks and Responsibilities

·       Receptionist role during clinic hours, back-office work during non-clinic hours

·       Scheduling and confirming of patient appointments

·       Liaising with hospitals and other service providers (i.e. radiology units / pathology labs)

·       Surgical billing, Medicare/DVA batching using Genie software

·       Template updates in Genie if required

·       Liaise with the accountants in establishing payment audits, monthly reporting

·       Liaise with the IT team

·       Troubleshooting

·       Debt collection

·       Actively participate in the monthly Practice Managers' meetings with MIA team

·       Liaise with referring doctors
