Purpose
Become. Architecture are seeking an Administration Assistant to support the Practice Manager and Directors in the smooth operation of our architectural practice. This role is focused on providing essential administrative support, ensuring that daily office tasks are completed efficiently and effectively. The Administration Assistant will handle front desk duties, manage office supplies, assist with financial administration, and support human resources activities. By maintaining organized office systems and offering administrative support to both the Practice Manager and project teams, this role helps maintain a high standard work environment and enables staff to focus on their core responsibilities. The Administration Assistant is crucial in ensuring the practice runs smoothly, contributing to its overall success
Role & Responsibilities
Key responsibilities and demonstrable experience in the following:
· Manage the front-of-house experience, phone and email, ensuring a warm and professional welcome for all visitors and clients
· Coordinate schedules, appointments, and internal communications across teams
· Maintain an organised, well-equipped, and presentable office environment
· Premises management: Oversee office suppliers, repairs & maintenance, cleaners and shopping for office/ kitchen provisions
· liaise with suppliers to organise office visits, presentations and office library management
· Troubleshooting for office & Staff, Roll out of system updates/ product changes/updates as well as being the conduit between staff and the IT provider
· Support team needs, including preparing documents, subscription management, Architectural registrations, proposals, contracts and general administration
· Accounts payable & receivable administration such as monthly invoicing, payment follow up and processing Supplier Invoices
About You
· Experience in a similar office administration or studio coordination role is a plus but not crucial
· A passion to communicate and engage
· Excellent communication skills, both written and verbal
· Intermediate to advanced Microsoft Office skills
· Excellent command of spoken and written English
· High attention to detail, organised and reliable
· Strong organisational skills and the ability to manage multiple tasks and priorities
· Demonstrated initiative, adaptable and interested in expanding and learning new skills
· Ability to work autonomously and as part of a team
· Lastly, but hugely importantly, a sense of humour, pride in what we do, but zero ego.
Ins & Outs
· Position: Administration Assistant
· Commencement Date: Flexible between August & September 2025
· Hours per week: 24hours.
· Days: Flexible: (Monday, Tuesday, Thursday).
· Work Location: Manly Office.
· Position Type: Permanent Part Time.
· Remuneration: $30-$35 per hour (experience dependent), + superannuation based on working a 24hour week.
· Looking for someone young and vibrant to bring some energy to the role.
· Australian Citizens or visas with no work restrictions only.
