Primary objective
Provide high level executive, corporate, administrative, and secretarial support to the Chief Executive Officer. This role is
the first point of contact for the Chief Executive Officer's office and is responsible for co-ordination of information from
various sources across the department, to ensure priorities are met in a fast-paced environment.
Key duties and responsibilities
1. Record, track, and oversee the timely movement and processing of correspondence through the Chief Executive Officer's
office including initiating follow up action to ensure deadlines are met.
2. Manage the Chief Executive Officer's calendar and emails and coordinate and provide relevant papers/briefings prior to
meetings.
3. Maintain effective security over confidential and sensitive records and documentation.
- Arrange meetings, travel and events and carry out routine procurement/purchases.
- Provide advice and assistance to departmental staff in the preparation of high-quality documentation for the Chief
Executive including coordinating the monthly reporting requirements across the department.
- Work as an integral part of the team to support the timely delivery of departmental priorities.
Selection criteria
Essential
1. Demonstrated experience working in an administrative support role within an executive level team, with a proven ability
to exercise sound judgement, particularly in respect to confidential or sensitive matters.
- Demonstrated interpersonal and oral communication skills which result in being able to communicate professionally,
tactfully, and effectively at all levels.
3. Sound writing ability, experience in preparing correspondence and demonstrated attention to detail and accuracy.
4. High level computer skills with experience in finance, procurement, records management and travel practices and
systems.
5. Self-motivated and proactive with highly developed organisational and time management skills. Ability to assess and
prioritise matters to effectively manage multiple tasks with competing deadlines while working autonomously.
- Ability to use initiative and be innovative and flexible in response to achieving outcomes, undertake research and make
recommendations regarding appropriate action to senior officers.
Desirable
1. Knowledge of relevant government policies, protocols, procedures, and systems.
