Role overview
The project coordinator role will focus on the end-to-end project coordination of LED displays, graphics and software installations into construction, refurbishment and fit-out projects in the foremost hospitality venues across Australia.
You will be part of an energetic and customer focused team which helps deliver exciting and visually pleasing installations.This role cuts across internal and external stakeholders and is pivotal in providing high quality outcomes to our valued customers.
This role is suited to someone who is very well organised, a person who can keep a commitment and has the ability to effectively manage competing demands.
Key responsibilities
In this role, you will be responsible for coordinating resources, scheduling tasks, and maintaining project documentation. Your aim will be to ensure seamless collaboration and efficiency throughout all project phases and departments.
- Support the Project Manager in managing projects from design through to installation on a national scale.
- Logistics and inventory: Managing the delivery of materials and ensuring the correct products are available for the installation.
- Scheduling: Organising and scheduling technicians and installers for on-site work.
- Information Gathering: Collect and record customer requirements.
- Client and supplier communication: Acting as a point of contact for clients and suppliers, providing updates, and addressing any issues.
- Administrative tasks: Managing project documentation and records, scheduling and coordinating meetings, tracking budgets and expenses, creating progress reports, and facilitating communication among the project team and stakeholders.
- Liaise daily with production, and installation teams.
- Help coordinate site requirements, permits, and safety compliance.
- Provide clear updates to clients and internal stakeholders.

- Time Management: Ability to prioritise tasks, manage multiple projects, and meet deadlines.
- Detail-Oriented: Meticulous in tracking project details, deadlines, and documentation.
- Ability to work with technical information.
- Ability to collaborate in a team environment and adhere to the values of the business.
- Adaptable and flexible in adjusting priorities and handling unexpected challenges in a fast-paced environment.
Essential criteria
- Proven experience as a Project Coordinator or similar administrative role
- Driver's license and own vehicle
Ideal criteria
- Experience working in shopfitting or construction
- Experience using simPRO and JIRA software
