We're a fast-growing, family-run dance school that prides itself on being organised, welcoming, and full of energy.
We're looking for someone reliable, practical, and people-focused who enjoys keeping things running smoothly and taking ownership of the small details that make everything work behind the scenes.
Purpose of the Role
To keep the studio running efficiently and support the Directors and Studio Manager by taking operational, organisational, and ad hoc tasks off their plate.
You'll act as a gatekeeper, handling errands, logistics, purchasing, and daily studio needs so the leadership team can focus on marketing, growth, and strategic work.
Key Responsibilities
Shop & Uniform Management
- Print, press, pack, and label uniforms and merchandise accurately.
- Maintain stock levels and reorder supplies before they run out.
- Keep the shop and storage areas tidy, organised, and audit ready.
Reception & Customer Service
- Welcome families and visitors with warmth and professionalism.
- Assist with trial sign ups, payments, and general enquiries.
- Record messages and pass on information clearly to the right team member.
General Operations & Studio Upkeep
- Complete open/close and cleaning checklists.
- Keep studios stocked with bin bags, wipes, tape, batteries, and first aid items.
- Handle purchasing for studio supplies and cleaning materials.
- Run errands and collect items as needed (local shops, suppliers, deliveries).
- Arrange small maintenance jobs and coordinate trades or deliveries when required.
Event & Costume Support
- Assist with costume lists, packing, and run sheet preparation for concerts and showcases.
- Help with setup, pack down, and coordination of props and signage for events.
Admin & Systems Support
- Perform basic data entry in our studio systems (Jackrabbit, Enrollio, GoHighLevel, training provided).
- Maintain simple stock and supply spreadsheets, process small purchasing and reimbursement tasks.
- Keep records accurate, up to date, and neatly filed.
Location & Travel
- This role is based primarily at our Varsity Lakes studio.
- You'll also regularly work from our Helensvale studio depending on what's needed.
- Flexibility to travel between both locations is essential.
- Most days you'll stay at one location for the full day, but occasionally you may be asked to visit both sites.
Employment Structure & Growth
- The position will start as a casual role to allow both sides to confirm fit and flexibility.
- Once performance and fit are confirmed, the role will transition to a permanent part-time position for stability and long-term growth.
- As the studio expands, this position is expected to grow into a full-time role within 12 months.
- Future hours and responsibilities may increase as the studio scales and the role evolves.
Who You Are
- Reliable, organised, and takes pride in keeping things running smoothly.
- Warm and friendly, with excellent communication and people skills.
- Good attention to detail, comfortable working with numbers, lists, and small admin tasks.
- Competent with computers (email, spreadsheets, online forms) and quick to learn new systems.
- Practical, proactive, and enjoys variety.
- Physically active enough to lift boxes, move costumes, and assist with setups.
- Comfortable travelling between locations and managing varied daily priorities.
Requirements
- Moderate computer confidence and accuracy with numbers.
- QLD Blue Card (or ability to obtain).
- Current driver's licence and reliable transport.
- Previous experience in retail, hospitality, events, or admin preferred but not essential.
- Occasional weekend or event work required.
