The Role
An exciting opportunity exists for a Secretary to join in our Commercial team in Melbourne and involves working across a wide range of duties. The role will see you responsible for providing secretarial support to four Partners and junior lawyers. In addition to the core legal secretarial duties, the role will also provide personalised support to the Partners, ensuring the smooth running of both professional and, where appropriate, personal commitments.
Overview of key responsibilities
The range of duties the position is responsible for include:
- Administrative assistance, typing and collation of various legal documents;
- Assisting with the preparation and collation of transaction documents, including contracts, deeds, and completion deliverables;
- Managing calendars, scheduling meetings, and coordinating travel arrangements;
- Correspondence, including preparing memos and email communications;
- Assisting with matter opening, billing, and time recording processes;
- Coordinating electronic and physical filing in accordance with firm protocols;
- other administrative tasks as required.
About You
You are an experienced secretary with at least three years' experience, ideally in private practice or professional services supporting Partners. You will bring a committed, proactive, and service-oriented approach to your work. You have exceptional organisational and communication skills, ensuring that you can prioritize tasks efficiently and manage competing deadlines with ease. You have strong technical skills along with a high level of attention to detail.
You bring intellectual curiosity, a strong aptitude for working with technology, and the ability to adapt in a changing environment. You proactively embrace emerging legal and technological developments and apply them to your role.
