About the Role:In this dual-role position, you will be responsible for providing day-to-day administrative support and managing a range of accounting tasks. You will play a key role in ensuring smooth office operations and accurate financial record-keeping.
Key Responsibilities:
• Organize and maintain project documentation, contracts, invoices, and correspondence
• Support project managers and site supervisors with scheduling, reporting, and resource planning
• Coordinate with suppliers, subcontractors, and clients for smooth project execution
• Monitor and record daily expenses, purchase orders, and timesheets
• Maintain compliance records including permits, safety documentation, and insurance
• Prepare reports, meeting minutes, and updates for internal and external stakeholders
• Assist in payroll preparation and HR-related administrative tasks
• Manage office supplies, IT systems, and general office duties
• Ensure deadlines and administrative workflows are met in line with project requirements
• Maintain and update all financial records, including accounts payable/receivable, payroll, and general ledger
• Track project costs, prepare job costing reports, and analyze variances against budget
• Support project managers by providing real-time financial data and insights
• Reconcile bank accounts, supplier accounts, and company credit cards
• Prepare monthly, quarterly, and annual financial reports for management review
• Assist in budgeting, forecasting, and cash flow management
• Ensure compliance with tax regulations, industry standards, and internal controls
• Liaise with external auditors, tax advisors, and government bodies as needed
• Monitor construction contracts, change orders, and retention payments for accuracy
• Manage asset registers and depreciation schedules
- Prior experience in an Admin/Accounts role (minimum 2 years preferred)
- Proficiency in MYOB
- Strong knowledge of Microsoft Office (especially Excel and Outlook)
- Excellent attention to detail and time management
- Ability to multitask and work independently
- Strong written and verbal communication skills
- Bookkeeping or Accounting qualifications (desirable but not essential)
