About Us

In and Out Trades is a growing carpentry and property maintenance company on the Central Coast.

We service real estate agencies and private clients, completing everything from handyman tasks to decks, kitchens, bathrooms, renovations and repairs.

We value a calm, efficient, organised workplace – and we're ready for an experienced Office Manager to take the reins and help us level up.


About the Role

We are looking for a highly experienced, confident, and organised Office Manager to support our trades team, clients, and business operations.

This position is a full-time role from the start. Hours are 8:00am–4:00pm, Monday to Friday, offering long-term stability and growth as our business continues to expand.

The successful applicant will commence on Monday, 12 January 2026 (the second week of the new year).

Work From Home – To Start

We're currently building a mezzanine in our Erina workspace.

Until the office is complete, you'll work from home, then transition into the new office once ready.

You must be comfortable working independently, and at times, alone in the office.


What You'll Be Doing
Office, Admin & Customer Support
  • Answer calls/emails promptly and professionally
  • Be friendly but firm – confident giving direction to trades when needed
  • Keep clients fully updated without them needing to chase
Scheduling & Operations
  • Schedule jobs efficiently to keep the team productive
  • Communicate job changes, delays, and requirements clearly
  • Liaise with trades, real estate clients, suppliers & subcontractors
  • Work closely with our VA in the Philippines
Accounts & Finance (Xero)
  • Prepare quotes, invoices, and purchase orders
  • Invoice 100% of jobs within 48 hours of completion
  • Manage accounts receivable/payable
  • Follow up overdue invoices with professionalism
  • Track job costs, margins, and variations
Systems & Organisation
  • Create, implement, and improve company procedures
  • Keep digital records accurate and up to date
  • Support marketing tasks (basic social media, newsletters)
  • Assist with HR records, inductions, and admin
  • Uphold WHS documentation and office compliance

About You

We want someone who is:

  • Very experienced in office administration (ideally in trades, property maintenance, or construction)
  • Friendly, approachable, and confident with authority
  • Organised, structured, and systems-driven
  • Able to work independently and make decisions
  • Not afraid to direct the team when needed
  • A clear communicator with strong customer service skills
  • Tech-savvy and comfortable learning new software
  • Calm under pressure and solution-focused

Key Requirements

2–3+ years office admin experience (trade industry preferred)

Strong Xero skills

Excellent phone manner and communication

Ability to manage multiple priorities

Comfortable working independently

Australian work rights required

Comprehensive Xero experience is essential
