Your Physio Advantage is a leading allied health practice with a team of 30 Physiotherapists, Occupational Therapists and Remedial Massage Therapists.
We're at the cutting edge of delivering first-class care to older adults and people living with disability across the Central Coast and Newcastle through our mobile home visit services, supported by our main clinic and office hub in Erina.

We're looking for either:
- An experienced Practice Manager with a track record of managing larger teams, or
- A high-performing Senior Administrator who's ready to step into their first formal leadership role.
This is a leadership-focused practice management role based at our Erina office, with:
- More than 90% of your time in back-office leadership and operations, and
- A small component of front-desk support to stay connected with clients and the day-to-day flow of the clinic
Once established in the role, there is the option to work from home one day per week.

Strong leadership support:

- OT and Physio Team Leaders
- Finance Manager who has previously worked as our Practice Manager and can provide extensive onboarding and mentoring

In this role, you will:
- Lead and support our admin and clinical teams to meet performance targets and service standards
- Oversee day-to-day practice operations across clinic and mobile services
- Provide high quality customer service to clients, families, and referrers (phone, email and in person)
- Manage appointment schedules and workflows for a busy team of clinicians
- Manage social media accounts, email campaigns, and industry newsletters to engage referrers and promote Your Physio Advantage's services and achievements.
- Oversee incident reporting and incident management, ensuring appropriate follow-up, documentation and learning
- Support a psychologically safe and physically safe workplace, working with leadership to maintain WHS and wellbeing
- Monitor key numbers and help the leadership team understand and act on the figures
- Oversee billing, invoicing, reconciliation and payroll, working closely with our finance manager.
- Work with multiple IT platforms (Google Suite, Splose/Cliniko/Best Practice, Xero, etc.) and assist the team with IT maintenance.
- Build and maintain strong relationships with key referrers and external stakeholders
You'll still spend some time on reception (e.g. covering breaks or busy periods), but your primary focus will be leading people and running the practice smoothly.
About You – Skills & AttributesYou will be a good fit for this role if you:
- Have experience as a Practice Manager, Office Manager or Senior Administrator. Experience working for aged care, disability providers, medical or allied health organisations is highly regarded.
- Are confident managing people – setting expectations, supporting performance and having honest conversations
- Have excellent communication skills – verbal and written – including negotiation and conflict resolution
- Are customer service focused and comfortable building relationships with referrers and external stakeholders
- Are a fast learner with IT systems and confident across cloud-based systems
- Understand financial figures and key metrics, and can work with numbers while still being a "people person"
- Have strong attention to detail, particularly with billing, documentation and compliance
- Have experience in customer service in a professional environment
- Care deeply about creating a safe, supportive and positive workplace culture
Experience with Medicare and NDIS billing, and prior use of Xero, Splose, Best Practice, Cliniko or similar systems will be highly regarded.
