THE ROLE

Reporting to the Business and Systems Manager, the Systems Officer supports the efficient operation and ongoing improvement of Journal's business systems. This role provides system administration, reporting, and user support across StarRez (property management) Salesforce (CRM) and related software platforms, ensuring data integrity and alignment with operational and compliance requirements.

The position will assist in operating these systems, documenting associated procedures, training staff, and supporting the rollout of new systems, features and business processes. It requires strong attention to detail, analytical thinking, and a proactive approach to problem solving and service delivery.

KEY RESPONSIBILITIES

Systems Support & Integration

  • Assist with configuration, maintenance, and administration of systems and business processes.
  • Assist with the coordination and administration of user access, permissions, and system updates.
  • Provide first-level support and troubleshooting for internal and external system users.
  • Support testing and implementation of new systems, features and integrations.
  • Maintain system records, logs, and documentation to ensure audit readiness and compliance.
  • Track and action user requests or issues through the appropriate channels, escalating when required.
  • Support ongoing system updates and testing in collaboration with the Business and Systems Manager.
  • Assist with connecting Salesforce, StarRez, and reporting tools across Sales and Operations.

Reporting and Data Quality

  • Generate, validate, and distribute operational and compliance reports under the guidance of the Business and Systems Manager.
  • Monitor data quality across systems and escalate inconsistencies when required.
  • Support reporting through accurate data entry and extraction.
  • Maintain reporting templates, dashboards, and data libraries to support consistent reporting practices.
  • Assist in compiling regular system usage summaries and performance reports.

User Support, Training & process improvement

  • Work collaboratively with Operations, Finance, and Facilities teams to ensure systems support business goals.
  • Contribute to a culture of accountability, service excellence, and continuous improvement.
  • Identify opportunities to simplify or automate administrative tasks within systems.
  • Support small projects or initiatives aimed at improving system efficiency or user experience.
  • Assist in documenting "how-to" guides and standard operating procedures.

Base salary range: $70,000 - $75,000 excluding superannuation
